Description The Site Manager plays a critical role in delivering patient-centered, coordinated, team-based healthcare at Valley View Health Centers. Reporting to the Director of Operations and Special Projects, this position is responsible for supervising and coordinating front office and site operations staff to ensure efficient workflows, regulatory compliance, excellent customer service, and optimal patient access to care. The Site Manager serves as a leader, role model, and operational partner to clinical and administrative teams across assigned health center locations. Essential Functions Functional Area: Site SupervisionEstimated Effort: 45% Responsibilities, Deliverables, Outcomes and Expectations: Supervise and support front office and site staff to ensure efficient daily operations Ensure provider schedules are utilized effectively, including management of waitlists, follow-ups, and well visits Ensure patients have access to insurance enrollment and program information consistent with the agency mission Ensure accurate and timely entry of patient information into the practice management and EHR systems Confirm third-party coverage through payer verification and authorization Build, train, and supervise a high-performing front office team Provide daily direction and oversight to staff Conduct and document employee performance evaluations Oversee audits of registration activities including Sliding Fee Scale applications, income verification, payer selection, and billing alerts Serve as the site subject matter expert on Sliding Fee Scale policies and procedures Ensure staff are properly trained for assigned duties Ensure phones are answered promptly and professionally Encourage professional development and growth opportunities for staff Oversee daily balancing of cash drawers and deposits; monitor and report site cash flow Partner with Patient Access Representatives to achieve a denial rate goal of 4% Ensure documents are accurately scanned into the EHR Collect, analyze, and communicate customer service and performance metrics; develop improvement plans as needed Utilize alternate eligibility verification methods when EHR systems are unavailable Interview, hire, and onboard front office staff Functional Area: Site OperationsEstimated Effort: 45% Responsibilities, Deliverables, Outcomes and Expectations: Serve as liaison between clinical and operational staff to support clear communication Monitor site supplies and coordinate procurement as needed Audit and monitor scheduling practices, copayment collection, and patient account balances Train, observe, and coach Patient Access Representatives to ensure an excellent patient experience Collaborate with the billing department to assist patients with billing questions or concerns Address and resolve patient concerns with professionalism and compassion Learn, apply, and communicate policies and procedures accurately to patients and staff Ensure provider schedules across multiple locations are consistently maintained Collaborate with site operations leadership to meet departmental goals and objectives Functional Area: Agency ServiceEstimated Effort: 10% Responsibilities, Deliverables, Outcomes and Expectations: Perform other duties as assigned to support the mission, vision, and business of CAC and Valley View Health Centers Travel as required to other sites, meetings, trainings, or seminars Serve as a representative of VVHC/CAC on assigned committees and workgroups Minimum Requirements Education: High School Diploma or equivalent. Job-Related Experience: Minimum three (3) years of experience working in a healthcare office setting Prior experience using electronic medical record (EMR) systems People Management Experience: Minimum one (1) year of direct supervisory experience with successful people management, preferably in a healthcare environment Licenses, Certifications, and Accreditations: None required. Preferred Qualifications Bachelor's degree Three (3) or more years of supervisory experience leading a productive healthcare or office-based team Working Conditions This position operates primarily indoors in a climate-controlled, office-like environment. The role may involve exposure to hazardous materials and varying weather conditions when traveling between sites. Duties require prolonged sitting, close vision, and manual dexterity for computer and office equipment use. The employee may regularly lift up to 10 pounds and occasionally up to 25 pounds. Occasional movement throughout the facility and travel between locations is required.
