As L.A.'s premier performing arts destination, The Music Center convenes artists, communities and ideas with the goal of deepening the cultural lives of every resident in Los Angeles County. The $80 million non-profit performing arts organization has three divisions: TMC Arts, TMC Ops and TMC Business Services. TMC Arts, The Music Center's programming engine, provides year-round programming inside The Music Center's four theatres, which include Walt Disney Concert Hall, Dorothy Chandler Pavilion, Ahmanson Theatre and Mark Taper Forum; on Jerry Moss Plaza; outside at Gloria Molina Grand Park, a 12-acre adjacent green space; and in schools and neighborhoods all over Los Angeles County. TMC Arts presents world-class dance with Glorya Kaufman Presents Dance at The Music Center, free and low-cost public concerts and events, as well as K-12 arts learning programs, workshops, performances, interactive experiences and special events. TMC Ops manages the theatres, Jerry Moss Plaza and Gloria Molina Grand Park, which comprise $3 billion in county assets, on behalf of the County of Los Angeles. TMC Business Services includes Advancement, Human Resources, Finance, Tech Services, and Marketing and Communications. The Music Center is also home to four renowned resident companies-Center Theatre Group, Los Angeles Master Chorale, LA Opera and LA Phil. Job Summary The Program Coordinator, Individual Giving is a collaborative, proactive, detail-oriented, and highly organized professional who provides essential coordination and support for major, principal and planned giving efforts for The Music Center. The Program Coordinator collaborates, communicates, and interfaces with internal stakeholders in advancement and across departments as well as with donors, Board of Directors, and volunteers. Reporting to the Vice President (VP) of Advancement, the Program Coordinator ensures high level fundraising program delivery by providing the administrative infrastructure for success. This post provides direct support for the planning and execution of the VP's work and assists the Senior VP and the individual giving prospect managers by helping to create, improve, and maintain the systems, tools, collateral, and scheduling needed to reach team goals. Essential Duties and ResponsibilitiesProvides administrative coordination and support for the VP. Tracks and monitors status of pending items for meetings, programs, and projects and follows up as needed. Assists with recording donor outreach and activity in the database to preserve key information and documents and maintain electronic records. Assists VP and Senior VP in managing calendars, setting meetings and appointments, and answering calls. Facilitates internal and external meeting logistics for VP and Senior VP including meeting/appointment agenda and material preparation, conference call set up, audio/video set up, catering arrangements, parking, taking minutes, and coordinating meeting follow up. Working collaboratively with The Founders and marketing teams, leads the coordination of complimentary ticketing requests and seat holds for the Advancement department and President's Office for all Glorya Kaufman Presents Dance at The Music Center performances and other Music Center engagements. Draft the department briefing for each engagement. Oversees timely and accurate content development and delivery for Advancement pages in Performances magazine and quarterly digital Spotlight newsletter. Support the VP and Senior VP with preparation of correspondence, acknowledgement letters, impact reports, and PowerPoint presentations, including graphic design of high-end communications. Processes and assures accuracy of invoices, expense reports, and other accounting documents for VP's review. Interfaces with board members, donors and other VIPS on behalf of the VP and Senior VP. As needed, assists individual giving fundraisers with logistics for donor meetings and performances as well as preparing donor correspondence and meeting materials. Oversees logistics for small donor cultivation and stewardship events. Provides support to the Director of Planned Giving and Director of Annual Giving on digital communications and maintaining webpages. Provides phone support for general department lines. Works overtime as well as weekends, as needed. Other duties as assigned. Required Skills & Qualifications Bachelor's degree (B.A.) from a four-year college or equivalent relevant experience. Minimum of two years of experience working in an administrative role, preferably with a non-profit organization. Proficiency with Microsoft Word, Excel, Outlook, and PowerPoint as well as a relationship database such as Tessitura, Raiser's Edge, or similar CRM system preferred. Desired Skills & QualificationsGraphic design experience in InDesign or similar program. Strong organizational skills with the ability to effectively prioritize projects, adapt to changing organizational needs, and meet deadlines. Exceptional written and verbal communication skills with strong attention to detail and ability to interact effectively and diplomatically with donors and staff. Basic math skills. Discretion with confidential and sensitive information. Must be highly dependable and maintain excellent attendance and punctuality. Ability to work both collaboratively and independently in a fast-paced, team-oriented environment. SALARY This full-time, non-exempt position offers a competitive hourly range of 27.75 - $36.53, along with a comprehensive total rewards package. SCHEDULE This position is scheduled for 35 hours per week, typically Monday through Friday from approximately 9:00 a.m. to 5:00 p.m. Work hours may be adjusted as necessary to accommodate special events and business needs, including occasional evenings and weekends. The Music Center currently operates under a hybrid work model, combining remote work with designated onsite team days. Onsite, in-person attendance is required to support live events.
