Join a dedicated healthcare team in the heart of the Midwest region, supporting emergency department operations during night shifts. Under the guidance of the Director and direct supervision of the Shift Manager, the Administrative Unit Coordinator performs essential reception and secretarial duties while occasionally assisting with indirect patient care activities. Key Responsibilities Manage clerical tasks to support department efficiency and accuracy, including processing physician orders, coordinating with ancillary departments, distributing clinical information, and monitoring patient flow. Handle filing, printing, copying, faxing, charge entry, supply inventory, log book maintenance, and preparation of medical charts for transfers or discharges with precise patient identification. Manage telephone communications promptly and route calls accurately, maintain office equipment, and assist with patient transportation within and outside the department. Provide professional and warm greetings to patients and visitors, directing them appropriately and keeping them informed throughout their visit. Communicate effectively with patients, visitors, and staff to reduce barriers, resolve conflicts using de-escalation techniques, and share relevant patient status updates with the healthcare team. Document all pertinent information in patient medical records timely and accurately, supporting organizational goals and quality standards. Participate in ongoing education, competency testing, quality audits, and council activities to maintain high standards of care and safety. Education High school diploma or equivalent required. Medical clerical experience is preferred. Experience At least one year of experience in clerical, receptionist, or hospital duties is preferred. Proficiency in typing and computer skills is essential. Certifications American Heart Association Basic Life Support (BLS) certification is required. Mental and Physical Requirements Requires considerable mental concentration. Physical demands include lifting up to 35 pounds, frequent walking, standing, turning, carrying, pushing, pulling, stooping, crouching, twisting, and reaching. Attention to detail and accuracy are critical. Working Conditions Exposure to infectious diseases and potentially hostile individuals may occur intermittently. There is potential exposure to communicable diseases via blood and body fluids, as well as radiation. The role involves frequent interruptions and distractions but minimal physical discomfort.
