We are a safety- sensitive, drug free work place Requirements Job Purpose: This position is responsible for coordinating and executing the logistics of the Food Bank of Northern Nevada's established special events and community food drives. Because events are pre-determined annually, this role focuses on operational coordination rather than event design, ensuring each initiative is implemented efficiently, consistently, and in alignment with organizational standards. Responsibilities include coordinating event logistics (volunteer needs, site confirmations, materials, timelines, and internal communication), serving as the primary point of contact for food drive hosts, coordinating the logistics of each traditional and virtual food drive while ensuring all necessary information is clearly communicated to staff, volunteers, and leadership. The Events & Food Drive Coordinator represents the Food Bank in the community, maintains relationships with businesses, faith-based organizations, schools, and community partners, and ensures each engagement reflects a professional and positive organizational presence. This role has heavy collaboration cross-functionally with management and staff. The position allocates approximately 10% administrative/reporting, 30% of time to event logistical coordination and 60% to food drive coordination, depending on the season. (customer service, mange expectations, & driving success) • Excellent computer skills required including competency with databases, word processing, spreadsheet and presentation software Preferred Skills & Experience:• Bachelor's degree in business, communications, marketing or related field is desirable. • Previous experience with a nonprofit organization is desirable. ESSENTIAL DUTIES INCLUDE BUT ARE NOT LIMITED TO:Event & Food Drive Logistics Coordination Coordinate logistics for all food drives including data input, driver coordination for drop offs and pick ups. Coordinate and execute the Food Bank's established events, including volunteer and internal employee events, under the direction of the Director of Marketing & Communications. Coordinate logistics and details for all second- and third-party events and food drive opportunities, ensuring alignment with minimum fundraising, brand, and mission standards. Coordinate logistics and details for employees, donor, and volunteer events in support of various FBNN team members. Coordinate and communicate: event objectives, timelines, budgets, stakeholders, and appropriate follow-up activities. Perform other job functions as assigned. Community & Donor Engagement Work with food drive hosts to maximize their success and, when appropriate, encourage the use of the virtual food drive platform. Engage food drive and event donors personally, including off-site meetings, tours, and hands-on customer service (e.g., delivery/pickup of barrels when necessary). Maintain and develop relationships with existing and prospective event sponsors and vendors in coordination with overall FBNN development efforts, working closely with the Corporate Development Officer. Strategize with development staff to leverage events as donor engagement and prospect identification opportunities. Ensure food and fund drive materials are professional, compelling, and aligned with sponsorship expectations. Perform other job functions as assigned. Financial & Administrative Oversight Understand and adhere to event budgets (collaboration with Finance and database teams to ensure accurate billing, deposits, and financial tracking.) Conduct all job duties with appropriate confidentiality. Perform other job functions as assigned. KNOWLEDGE/SKILLS/ABILITIES: Strong written and verbal communication skills, with the ability to clearly convey logistics, timelines, and expectations to diverse internal and external stakeholders while maintaining brand and mission alignment. Professional and customer-focused presence when representing the organization with donors, sponsors, volunteers, community partners, and board members. Exceptional organizational and time management skills, with strong attention to detail and follow-through to ensure accurate scheduling, documentation, and execution. Demonstrated ability to coordinate structured initiatives from initiation through completion within defined frameworks and established processes. Ability to anticipate logistical needs, prioritize competing demands, and proactively resolve operational challenges. Strong collaboration and interpersonal skills, with the ability to work effectively across departments, take direction from multiple stakeholders, and engage volunteers and internal teams in support of shared outcomes. Ability to understand and work within established budgets while maintaining organized administrative systems and accurate records. Ability to handle sensitive information with discretion and confidentiality, particularly in governance-related matters. Intermediate to advanced proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and experience working with databases or CRM systems to track activity and reporting. Demonstrates accountability, reliability, and sound judgment in a fast-paced, service-oriented environment. The employee is frequently required to stand, talk and hear. Position Type/Expected Hours of Work: This is a full-time position. Normal days and hours of work are Monday through Friday 8:00a.m. to 4:30p.m. Days and hours may vary from normal schedule when program schedule adjusts or other special events arise. Travel: Local travel to various events may be required.
