About the Job Full Time Community Based Program Coordinator Summer Youth Employment Program (SYEP)/ Work, Learn and Grow (WLG) High School & College Success STATEMENT OF THE AGENCY: Commonpoint is a non-profit, multi-service agency with flagship sites in Little Neck, Bayside, Forest Hills, East Elmhurst, and Jamaica with 80 additional sites throughout the community that provides a diverse array of programs and services to over 85,000 individuals. MINIMUM DESCRIPTION: Commonpoint's Youth Workforce Department comprises a number of different programs serving individuals predominantly from 14-24 years old. SYEP provides New York City youth with summer employment and educational experiences that build on their individual strengths and incorporate youth development principles. These principles include engaging the talents and interests of youth, developing their skills and competencies, and providing positive adult role models. ABOUT POSITION: The SYEP Community Based Program Coordinator supports the successful operation of the Summer Youth Employment Program (SYEP), which provides New York City youth ages 14-24 with summer employment and educational experiences. The Coordinator plays a key role in assisting with administrative functions, participant engagement, and program implementation, ensuring compliance with Department of Youth and Community Development (DYCD) guidelines and contributing to a positive youth development environment. RESPONSIBILITIES:Program Coordination & Operations:Coordinate day-to-day operations of the WLG and SYEP programs to ensure smooth implementation aligned with organizational goals and youth development principles. Oversee participant enrollment, placement, scheduling, and attendance tracking for both year-round and summer initiatives. Ensure all program logistics are executed, including timely communication with participants, staff, and partner sites. Maintain accurate and up-to-date records in program databases, including participant files, job site agreements, evaluations, and required documentation. Assist in coordinating youth recruitment, registration, and enrollment processes. Support PBL assignments by assisting creating rosters and sending placement confirmations Facilitate worksite assignments by sending rosters and placement confirmations. Support communication through email, phone, and social media to engage participants and partners. Provide general administrative support such as managing calendars, routing correspondence, and responding to information requests. Work collaboratively with program staff to gather and reflect on feedback from participants, staff, and partners to support continuous program improvement. Staff Supervision & Team Leadership:Supervise a team of seasonal administrative staff, including hiring, onboarding, training, ongoing coaching, and performance management. Plan and facilitate regular team communication and training, including annual kick-offs, weekly meetings, and procedures based on feedback and evolving program requirements. Participant Support & Engagement:Serve as a point of contact for program participants, offering guidance, information, and ongoing support throughout the program. Provide information and referrals to participants and families regarding additional agency services or external resources. Follow up with participants who are inactive or have missed hours to ensure compliance and maintain engagement. Ensure SYEP participants are satisfied with their worksite and PBL placements and are on track to complete assigned hours. Training, Orientation & Compliance:Facilitate participant orientation for WLG and SYEP programs, including scheduling classes, sending confirmations, and tracking attendance. Monitor completion of DYCD-mandated trainings such as Hats & Ladders and Sexual Harassment Prevention, ensuring certificates are submitted for all participants. Track and oversee the Community-Based payroll process, including entering hours in YEPS, resolving payroll issues, and approving/committing hours. QUALIFICATIONS:Bachelor's Degree or equivalent experience required. At least 1-2 years of experience working in youth programs or employment services preferred. Strong organizational and time-management skills with attention to detail. Effective communication and interpersonal skills, with the ability to work with diverse populations. Proficiency in Microsoft Office and Google Workspace (Docs, Sheets, Gmail, Calendar). Comfortable working both independently and as part of a team in a fast-paced environment. Commitment to the mission of Commonpoint and youth development principles. Excellent written and verbal communication skills. Strong problem-solving skills and the ability to work independently and as part of a team. Adaptability and flexibility in managing unforeseen challenges and shifting priorities.
