Join our team as an Executive Operations Coordinator and Office Services Administrator, where you'll play a pivotal role in driving seamless operations and fostering connections within the office. Your Impact This dynamic role combines the functions of an Executive Assistant supporting a Partner or Senior Partner with those of an Office Services Administrator, ensuring smooth office operations. You will excel in a fast-paced, high-performance environment, showcasing exceptional organizational skills, proactive problem-solving, and a commitment to outstanding service. Executive Assistant Responsibilities (50%) Calendar Management: Optimize and maintain complex calendars for strategic scheduling. Meeting Coordination: Plan and coordinate meetings, conference calls, events, and meals, managing all logistics. Travel Arrangements: Organize seamless international and local travel plans, accommodating preferences. Strategic Alignment: Collaborate with key stakeholders to ensure consistent communication and alignment across all processes. Communication Management: Manage incoming communications, responding on behalf of the Partner when appropriate while maintaining confidentiality. Project Management: Execute projects with minimal guidance, often involving senior leadership. Client Interaction: Act as the representative for the Partner, building strong relationships with clients and internal colleagues. Administrative Support: Handle administrative tasks such as submitting timesheets and managing client invoices. Office Services Responsibilities (50%) Reception Management: Greet and check-in visitors while managing incoming calls with professionalism. Office Maintenance: Ensure all office spaces are well-maintained, including conference rooms and common areas. Catering and Supplies: Manage catering for events, vendor relationships, and the ordering of office supplies. IT and Security Support: Serve as the contact for basic IT troubleshooting and administer keycards and badges. Event Support: Provide logistical support for events, ensuring a professional experience for all participants. This role supports the EA & Office Service function during the pilot office period in Columbus, OH. If the pilot office does not become permanent, you will have opportunities to transition into other roles within the firm. Your Qualifications and Skills Undergraduate degree preferred. 3+ years of experience supporting senior-level executives. Exceptional administrative and organizational skills; detail-oriented with strong multitasking abilities. Proficient in computer applications, especially PowerPoint, Word, and Excel. Strong interpersonal skills with a positive attitude, capable of building relationships with clients and colleagues. Excellent judgment, resourcefulness, and independence in handling tasks. Able to work efficiently in a fast-paced environment. Professional commitment to client service and teamwork. Willingness to work in-person 5 days per week. Ability to operate office equipment and manage material transportation as needed. Strong communication and proofreading skills.
