Stone Oak Dermatology is seeking a driven, hands-on Office Manager to lead operational excellence within our growing dermatology practice in San Antonio. This leadership role is responsible for translating the organization's mission and strategic vision into daily practice operations while ensuring strong financial performance, regulatory compliance, and an exceptional patient and staff experience. The Office Manager serves as the primary operational leader onsite - partnering closely with corporate teams and providers to support staffing, workflow optimization, inventory control, and business development initiatives. This position is ideal for a collaborative healthcare leader who balances operational discipline with a people-first mindset. The Office Manager acts as the principal liaison between the practice and headquarters, overseeing administrative, financial, and human resource functions. This individual champions ethical leadership, maintains strong communication with providers and staff, and ensures that revenue goals, cost controls, and patient care standards remain aligned. Core Responsibilities Operational & Financial Leadership Manage practice P&L performance with focus on budget adherence and sustainable growth. Oversee daily front and back-office operations to maintain efficient workflows. Partner with assigned Operations leadership to execute corporate strategy at the practice level. Coordinate with Finance on A/P, A/R, payroll, banking, and related administrative processes. Human Resources & Staffing Collaborate with HR on recruiting, hiring, onboarding, and staff performance management. Maintain staffing schedules, PTO tracking, and payroll system updates. Foster a fair, supportive, and communicative work environment. Cross-Functional Coordination Work with IT to support hardware and software needs. Partner with the Call Center to optimize scheduling workflows and patient access. Collaborate with Marketing to drive appointment growth and community reputation. Support operational integrations in coordination with regional leadership. Inventory & Resource Management Control supply expenses and maintain appropriate PAR levels. Conduct monthly and annual inventory counts and monitor expiration dates. Secure routine and capital equipment based on operational needs. Compliance & Practice Leadership Lead staff meetings and required in-service education (OSHA, CPR, HIPAA). Maintain regulatory compliance with OSHA, CLIA, AHCA, DHS, and applicable agencies. Ensure appropriate vendor and drug rep protocols are followed. Step into operational roles as needed during staffing gaps. Participate in required operational and financial review meetings. Support a professional, respectful, and collaborative workplace culture. Minimum 3+ years of progressive management experience in a medical practice. Bachelor's degree preferred, or equivalent experience. Knowledge of healthcare financial and HR management practices. Experience with EMR and billing systems. Strong analytical, organizational, and problem-solving skills. Excellent communication and leadership abilities. Ability to prioritize, adapt, and manage multiple operational demands.
