Why You'll Love This Opportunity The Clinical Operations Specialist plays a crucial role in ensuring the smooth running of clinic operations. By effectively managing administrative, clinical, and patient-facing processes, you'll contribute to a high-quality patient experience and operational excellence. This position requires regular presence in our Denison office (2-3 days per week) to support onsite operational needs while allowing the flexibility to work remotely for the remainder of the week. Reporting directly to the Clinical Operations Director and corresponding owner, this role is vital for maintaining high operational standards and efficient clinic function. Key Responsibilities Billing Support: Review patient accounts for duplicates or credits; print, prepare, and mail patient statements. Manage billing tasks and correspondence effectively. Process payments received via mail, Text2Pay, QR code, credit cards, and secondary insurance checks. Handle daily mail processing and Post Office runs. Confirm bank deposits. Manage petty cash. Vendor & Product Coordination: Oversee contact lens reconciliation statements. Manage clinical supply requests and sales product needs. Coordinate inventory management for clinical supplies and OTC products. Submit manufacturer coupons for reimbursement. Systems & Records Management: Oversee Technician Highlight system and gather data for multiple clinics. Coordinate medical records requests with front desk staff. Update status for deceased patients, deactivate accounts, and verify outstanding balances. Merge duplicate patient accounts and maintain accurate demographics. Create and update clinical operations forms as necessary. Assist in protocol documentation and training. Support MIPS activities. Scheduling & Communication: Maintain and update the Google Calendar for technician schedules in collaboration with traveling staff. Skills & Qualifications Associate degree (2-year degree) is required; additional healthcare-related experience is a plus. Proficiency in office and practice management software (e.g., Microsoft Office Suite, Google Workspace, RevolutionEHR is helpful). Strong organizational skills with exceptional attention to detail. Effective written and verbal communication skills. Ability to manage multiple tasks, prioritize effectively, and meet deadlines. Demonstrated discretion and confidentiality when handling patient information. Familiarity with clinical operations, billing workflows, or healthcare administration is beneficial. Working Environment: The Clinical Operations Specialist operates in a clinical office setting and collaborates closely with technicians, front desk staff, providers, and administrative leadership.
