About the Role: The Senior Business Operations Specialist for the Strategic Growth Office (SGO) plays a crucial role in delivering administrative and operational support to ensure smooth team operations. Reporting directly to the Operations Manager, you will manage scheduling, documentation, internal communications, meeting preparations, and general office administration for the SGO. This position is vital for maintaining operational efficiency, addressing the team's organizational needs, and assisting with routine tasks to ensure that projects, communications, and logistics function seamlessly. It requires strong organizational skills, proactive problem-solving abilities, and the capacity to independently handle routine inquiries while appropriately escalating complex issues. Key Responsibilities: Administrative Support Provide daily administrative assistance to the SGO team, including scheduling meetings, managing calendars, and coordinating logistics for multiple SGO Leaders. Facilitate internal SGO communications by assisting with email drafts, meeting summaries, action item tracking, and foundational documentation. Prepare meeting materials such as agendas, slide presentations, and shared resources as directed by the Operations Manager or team leads. Coordinate travel arrangements for SGO leaders, including booking flights, accommodations, and creating detailed travel itineraries. Operational Coordination Organize and maintain records, shared folders, and documentation within platforms like SharePoint, Teams, and other firm systems. Assist with data entry and basic administrative updates in platforms such as Workday, D365, and marketing tools, under guidance from system owners. Support tracking of follow-ups and deliverables for routine SGO operations, ensuring project management remains with the PMO or functional leads. Assist with routine reporting tasks, including retrieving system data and preparing simple summaries for the Operations Manager. Meeting & Event Support Provide logistical assistance for SGO events, workshops, and meetings, both virtual and in-person, including attendee coordination, room bookings, catering arrangements, and materials preparation. Support SGO-led conferences by coordinating internal logistics, documentation, travel arrangements, and follow-up actions. Document meeting notes and action items as needed. Team Support & Collaboration Collaborate with the Operations Manager to ensure alignment on administrative priorities and upcoming tasks. Act as a key resource for locating information, documents, and files for the SGO team. Facilitate the onboarding process for new SGO team members by preparing materials, scheduling introductions, and assisting with initial system setups. Assist the Operations Manager and SGO leadership by anticipating administrative needs and ensuring operational continuity. Qualifications: Bachelor's degree required, preferably in Marketing, Business Administration, or Communications. 2-4 years of executive administrative experience, ideally in a professional services, marketing, or operations environment. Exceptional organizational skills with the ability to effectively manage multiple tasks, deadlines, and priorities. Proficiency in Office 365 tools (Outlook, Teams, SharePoint, Excel, PowerPoint). Experience with Workday (especially for reporting), Workfront, and marketing tools is advantageous. Comfortable utilizing AI tools. Strong written and verbal communication abilities. Detail-oriented, reliable, and capable of maintaining discretion. Able to proactively identify needs before they arise. Comfortable in a fast-paced environment with multiple stakeholders. Preference for candidates in Houston; however, we welcome applicants from other locations with minimal travel requirements.
