Executive Assistant, Experienced The Application Services team plays a critical role in enhancing customer and technical collaboration while delivering all application development through a Platform and Technology Product Operating Model. The Executive Assistant, Experienced will report to the VP of Applications Payer Systems. In this role you will fully support the VP of Applications Payer Systems and provide limited support to the direct leadership team. Responsibilities In this role, you will: Perform administrative, analytical, and procedural tasks with a high degree of autonomy. Manage administrative matters in the absence of, or on behalf of, the manager Oversee third-party relationships by implementing designated systems, routinely monitoring performance, and tracking goods and services Act as an administrative liaison between the manager, direct reports, and both internal and external contacts Organize and manage the executive's daily calendar, appointments, meetings, and related schedules Leverage AI tools, such as Microsoft Copilot, to optimize workflows and build agents and systems that increase efficiency Set an example within the admin community by sharing best practices for using AI to accomplish administrative tasks Independently plan meetings and organizational events, coordinating facilities, food, and IT support at approved office locations Coordinate travel arrangements with leadership, including flights, hotels, and other logistics Manage meeting scheduling, develop notes and summaries, and handle related calendaring tasks Maintain distribution lists, organizational charts, and address miscellaneous requests Handle expense reporting through Concur, including submitting and approving reports, auditing for compliance, managing invoice approvals, and processing travel request approvals Qualifications In this role, you will need: A bachelor's degree or equivalent experience At least 3 years of prior relevant experience Advanced proficiency in the Microsoft Office Suite - including Outlook, PowerPoint, Word, Excel, and Copilot is required Intermediate knowledge of LucidCharts is preferred, and familiarity with Planview, SharePoint, Service Marketplace, Concur, UltiPro, and Jira is a plus Ability to demonstrate flexibility, resilience, strong problem-solving skills, and the ability to work independently while effectively managing multiple projects simultaneously Hybrid This role requires employees to be in-office based on our hybrid workplace model, balancing purposeful in-person collaboration with flexibility. For most teams, this means coming into the office two days each week. Employees living more than 50 miles from an office location will work with their manager to determine in-office time based on business need.
