Executive Support Specialist Community Housing Network is seeking a dependable, detail-oriented administrative professional to serve as a Part-Time Executive Support Specialist at our Troy office. Under the direction of the Administrative Operations Supervisor, this role provides organized, day-to-day administrative support to members of the executive team and the Board of Directors. Responsibilities include scheduling meetings, preparing materials, coordinating logistics, and supporting clear communication across leadership and internal teams. This is a weekday, in-office position with consistent hours, offering meaningful exposure to executive operations without the demands of a full-time schedule. The ideal candidate is reliable, organized, and enjoys creating structure, accuracy, and follow-through in their work. Essential Functions Executive and Administrative Support: Manage calendars and schedule meetings for three executives, and proactively review upcoming schedules to share relevant details or materials ahead of meetings as needed. Maintain organized, secure digital and physical files for the executive team, ensuring sensitive information is handled in line with privacy policies. Coordinate conferences, travel, and related logistics across the organization, ensuring all details are managed efficiently and accurately. Set up and organize meeting rooms with necessary materials and technology. Contribute to special projects and provide flexible support to meet evolving executive and administrative needs. Board Coordination: Coordinate board and subcommittee meetings, including scheduling in alignment with executive calendars and preparing meeting spaces, materials, and technology. Prepare, distribute, and maintain board agendas, minutes, resolutions, and supporting documentation. Attend board and subcommittee meetings to record detailed minutes and produce formal meeting records. Track post-meeting action items and follow up to support timely completion. Maintain accurate, well-organized board records and manage the board SharePoint site in accordance with retention, accessibility, and version-control standards. Qualifications and Skills Prior experience in administrative, executive support, or office coordination roles is preferred. Strong organizational, time management, and prioritization skills, with the ability to manage multiple tasks and meet deadlines. Excellent written and verbal communication skills, with the ability to collaborate effectively across departments and build positive relationships with staff, executives, and external partners. Proactive and forward-thinking, with strong analytical skills to anticipate needs, solve problems, and inform decision-making. High attention to detail in composing, reviewing, and proofreading materials, establishing priorities, and meeting deadlines. Proficiency in Microsoft 365 applications (Word, Copilot, Excel, PowerPoint, Outlook, Teams, SharePoint) and ability to use technology to streamline workflows and improve efficiency. Reliable transportation, possession of a valid driver's license, and maintenance of automobile insurance coverage that meets organization coverage limit requirements. (Bodily Injury $100,000 each person and $300,000 each occurrence and Property Damage of $100,000 each occurrence). Travel Limited, occasional travel within Southeast Michigan may be required to support organizational needs. Work Environment and Physical Demands Primarily in the office with the occasional opportunity to work from home. To work from home, the candidate must have a designated space that allows for privacy. This position is primarily sedentary, but may occasionally require standing, walking, bending, or lifting to set up conference rooms, trainings, or managing office tasks. May be required to work beyond standard business hours to meet organizational needs and for meetings or events.
