Executive Assistant LifeSpire of Virginia is seeking an Executive Assistant to support our Home Office Team in Glen Allen, VA! The Executive Assistant provides high-level administrative and organizational support to the Chief Operating Officer (COO) and Vice Presidents (VPs). This role serves as a central coordination point for executive schedules, communications, and operational needs, ensuring leaders are able to focus on strategic priorities. The ideal candidate is highly organized, proactive, and an excellent communicator who anticipates needs, manages competing priorities with professionalism, and maintains strict confidentiality at all times. In addition to traditional executive support, this position is responsible for managing the organization's contract management system and supporting general office operations. Executive Support Provide comprehensive administrative support to the leadership team, specifically the COO and VPs Manage complex calendars, schedule meetings, and coordinate logistics across multiple executives Prepare, proofread, and distribute correspondence, reports, presentations, and meeting materials Attend leadership meetings, record minutes, and track follow-up items Maintain discretion and confidentiality related to executive and organizational matters Contract Management Administer and maintain the organization's contract management system Track contract lifecycles, key dates, renewals, and expirations Ensure contracts are properly maintained, organized, and accessible Coordinate with internal stakeholders to support contract review and execution workflows Office & Administrative Operations Order and maintain general office supplies Assist with office coordination and administrative processes Support special projects and initiatives assigned by senior leadership Provide backup support to the C-Suite Executive Assistant Required Knowledge, Skills, and Abilities Exceptional organizational and time management skills Proactive, detail-oriented, and solutions-focused mindset Strong proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) Excellent written and verbal communication skills Ability to work collaboratively with internal and external stakeholders Ability to prioritize multiple tasks and perform effectively in a fast-paced environment with frequent interruptions Minimum Education, Training, and Experience 5+ years of administrative and operations experience with progressive responsibility supporting senior leadership Demonstrated success building consensus and strong working relationships among managers, partners, and team members
