Legal Secretary Hybrid | Irvine, CA (3 days onsite) Are you a seasoned legal administrative professional ready for a new challenge? Were looking for a Legal Secretary who can deliver proactive, detail?driven support to a team of attorneys in a busy, collaborative practice. This position offers a hybrid schedule with three in?office days each week in Irvine, CA. What Youll Do Serve as a key support partner to multiple attorneys, coordinating calendars, managing billing tasks, and helping ensure smooth day?to?day operations. Prepare and route clear, accurate instructions and documentation for internal resource teams. Communicate regularly with case teams to streamline requests and avoid duplicate work. Track, confirm, and communicate court and agency deadlines, escalating matters to attorneys when needed. Open, update, and maintain matters in the firms document management systems. Draft, edit, and finalize Tables of Contents (TOCs) and Tables of Authorities (TOAs). Handle document filing and e?filing in accordance with court and agency requirements. Maintain attorney contact lists and support client?facing communications as needed. Record and submit daily task logs and assist with reviewing client pre?bills. Coordinate transcription requests and oversee printing, formatting, and assembling of legal documents. What You Bring At least 5 years of legal administrative experience; labor & employment experience is preferred. Exceptional organizational skills with the ability to shift priorities and anticipate attorney needs. Strong communication and time?management capabilities. In?depth familiarity with legal terminology, court procedures, and e?filing processes. Advanced proficiency in Microsoft Office, Outlook, Adobe, and document management systems.
