Description of JobAbout the Work Unit This work unit exists to ensure safe and efficient operation of the State's public transportation infrastructure and facilities in Region 3. The unit functions to maintain continuity and compliance with all Federal, State, and local statues, regulations, policies and procedures related to public administration of required programs including maintenance, traffic operations, engineering, transportation planning, public and governmental relations, human resources and financial management. About the Position This position provides administrative support to the RTD Program Assistant to ensure efficient operation of the office as well as aiding the public, contractors, consultants, other CDOT offices/sections and other agencies as first point of contact in the Region Office. This position also serves as a Region 3 dedicated Customer Service Representative. Your duties and responsibilities will include, but are not limited to, the following: Perform the general office functions of distributing incoming and outgoing mail; receives, opens, stamps, sorts, distributes all incoming mail and parcels and distribution. Provide technical support to the Business Office and the Support staff of Civil Rights and the Safety officers. Make, coordinate, and/or schedule calendar appointments, reservations, conference rooms, meetings and/or trainings. Purchase, monitor, and update routine office supplies in multiple locations in the building. Complete data entry and tracking various information and documents in a variety of computer systems including SAP, MS Office (Work, Excel, PowerPoint), and/ or Google Suite. Assist the RTD Assistant with booking conference venues and purchasing food for various events. Negotiates conference venues and food as well as other events. Compose presentations, forms, guidance documents to be used for conferences, training, and internal use as needed. Assist the RTD Assistant with service awards and retirement packages as needed. This may include verifying inventory, organizing and preparing items for delivery. Backup for the RTD Assistant during absences to ensure flow of documents to the RTD is handled in a timely and secure manner. Front desk receptionist responsible for greeting and addressing the needs of in-person guests. The guests may be scheduled or unscheduled, visiting CDOT employees, attending meetings, seeking information or attending a job interview. Develop and maintain good public relations with various governmental agencies and act as the public liaison for all levels of personnel involved in the operation of the organizational unit. Serve as a dedicated customer service support representative (CSR) for Region 3. Answer dedicated CSR phone line and provides research and answers to questions, and/or coordinate with other customer service reps in the region. Assist customers via telephone, email, in-person, or online with inquiries or problems related to department services by asking questions to determine customer needs. Attend monthly CSR meetings as well as statewide trainings. Provide regional communication support that may include assisting with the R3 intranet webpage, R3 Newsletter, and ribbon cuttings. Deliver a variety of programs including annual health fairs, wellness challenges, vaccination clinics, blood drives, lunch & learns, and more. Create wellness news content for the Region 3 Internal News Hub. Coordinate and assist with organizing events such as Bike-to-Work Day, Remembrance Week, Safety Week, etc. Responsible for updating personnel data and records for all full-time and any temporary/seasonal employees. Resolve any discrepancies in employee records. Evaluate, reconcile, purge and/or archive all records per State/Agency Records Retention Rules. Process expense reports for the Business Office, Civil Rights, and the Safety department. Process and certify any vendor invoices for payment. Designated timekeeper for the Business Office and Safety Officers; reviews timesheets for correct coding and leave taken and reconciles timesheet error reports. Assist area employees with payroll, leave, benefits, etc. verifying accuracy of all documents. Review timesheets for area personnel. Maintain current State Office Building personnel roster as well as fire evacuation plans for the building. Responsible for CDOT new hire building code for access and reporting separated employees to the Building Code Administrator. Act as primary floor warden for CDOT offices located at 222 S. 6th Street complex. Coordinate floor wardens for the first and third floors to ensure evacuation coverage during emergency practice drills. Other duties as assigned. Work Environment: Your schedule will primarily be 8:00 AM - 5:00 PM work hours, Monday-Friday, but we are flexible to meet your work/life balance needs while ensuring CDOT business needs are met. Required to work in the office 100% with the potential of a hybrid schedule after 12-months (1-2 days from home). Frequent in-town travel during work hours.
