Performs other duties as assigned. Job ResponsibilitySubmit accurate and timely expense reports on behalf of assigned individuals. Manage calendars for assigned executive leaders and coordinate travel arrangements as needed. Prepare correspondence and resolve certain requests and inquiries on behalf of assigned executives/departments. Facilitate group meetings through logistic support including scheduling, meals, conference rooms, coordinating attendees, etc. Perform clerical duties such as copying, scanning, answering phone calls, taking messages, preparing correspondence, and distribution of department mail. File Annual Reports and Fictitious Business Name renewals for operating entities Manage and maintain Trademarks and Service Marks records Process Privacy Opt-Outs Process unemployment claims Quarterly Report Filing for Finance Assist in preparation and distribution of corporate governance materials including minutes, quarterly reports, and presentations. Assist with mailings as needed. Provide data-entry or data-processing support as needed. Maintain department-specific contact, birthday and work anniversary lists. Provide back-up support to other executive administrative support as needed. Job Responsibilities Cont.Education Required High School Diploma required; post-HS experience or degree preferred. Experience Required 5-7 years of executive assistance experience required; legal assistant experience preferred. Knowledge Required Excellent written and verbal communications skills; adaptability and flexibility to changing environment; and comfortable working in a dynamic, high volume, fast-paced environment. Ability to understand and ensure compliance with policies, procedures, and laws governing our industry/business and products. Physical Requirements Sitting for long periods of time; standing occasionally; walking; bending; squatting; kneeling; pushing/pulling; reaching; twisting; frequent lifting of less than 10 lbs., occasional lifting of up to 20 lbs.; driving and having access during the workday to an insured and reliable transportation; typing; data entry; grasping; transferring items between hands and/or to another person or receptacle; use of office equipment to include computers; ability to travel to, be physically present at, and complete the physical requirements of the position at any assigned location.
