We are seeking a Workplace Experience & Facilities Coordinator for our Solon, OH Global Headquarters! Roles & Responsibilities Serve as the face of the company by providing friendly, professional service to all visitors and callers. Meet and greet candidates, clients, and visitors; manage the sign-in process and notify their point of contact. Answer and route calls on a Teams phone system and take/deliver messages as needed. Maintain the reception area to ensure a clean, organized, and welcoming environment. Issue employee and visitor badges Accept, sort, distribute, and manage incoming and outgoing mail, packages, and deliveries. Ensure conference rooms are properly set up for meetings and special events in coordination with Executive Assistants and departmental partners. Help plan and execute onsite company events, including spirit weeks, holiday events, and other engagement activities, assisting with logistics, setup, coordination, and communication. Assist with and respond to inquiries received through the regional email inbox Maintain inventory of supplies and restock conference and break rooms weekly, reordering items as needed. Monitor the office for maintenance issues; submit and track service tickets and work order requests to ensure timely resolution. Help maintain safety standards throughout the facility and participate in emergency preparedness planning; serve on the Emergency Response Team. Maintain and update administrative policies, processes, and departmental files. Assist with facility-related new-hire tasks, including assigning employee badges, coordinating desk assignments, and supporting onboarding needs. Complete additional ad-hoc tasks as needed and contribute to team efforts by accomplishing related results. Education & Experience This position is in office 5 days a week. High school diploma or equivalent required; associate degree or bachelor's degree preferred. 1-3 years of experience in a front desk, administrative support, customer service, or facilities-related role. Experience in a corporate office environment preferred. Strong customer-service skills with the ability to provide friendly, professional, and welcoming experience for visitors and employees. Excellent verbal and written communication skills. Ability to manage Teams phone system, route calls, and relay messages accurately. Strong organizational skills with the ability to prioritize tasks and manage time effectively in a fast-paced environment. Detail-oriented with the ability to maintain clean, orderly, and professional work areas and meeting spaces. Ability to lift, move, or set up light materials for meetings, events, and office needs (chairs, supplies, event materials, etc.). Basic knowledge of office equipment, visitor management systems, and scheduling tools. Strong problem-solving skills and the ability to handle unexpected issues professionally and calmly. Proficiency with Microsoft Office Suite (Outlook, Word, Excel, Teams) and ability to learn internal systems quickly. Strong teamwork and collaboration skills with a willingness to assist across departments. Ability to maintain confidentiality, especially when handling employee assignments, visitor information, and sensitive internal matters.
