The Role We are seeking an exceptionally organized, proactive, and resourceful Special Projects Coordinator to support our Administrative team. You will serve as a coordinator for administrative operations and compliance efforts ensuring administrative leaders can focus on strategic priorities. This role requires someone who is a natural problem-solver, thrives on juggling multiple responsibilities, and has a high bar for excellence. You'll be part of a small but mighty team, reporting to the Special Projects Senior Manager, with broad exposure across the entire organization. Key Responsibilities Compliance Support: Provide administrative and coordination support for compliance and audit activities, including maintaining policy and compliance records, tracking regulatory requirements and renewals, assisting with compliance reviews, organizing documentation for internal and external audits. Administrative Support: Support day-to-day administrative operations for C-suite leaders including calendaring, meeting prep, note-taking, and follow-ups. Travel & Expenses: Plan, book, and support making travel arrangements (air, lodging, ground), including preparation of detailed itineraries and timely expense report submissions. Cross-Team Collaboration: Partner with the broader administrative and operations teams to support company-wide initiatives and events. Office & Errand Support: Support physical logistics for meetings/events (supplies, catering, setup) and run local errands as needed (requires reliable personal transportation). Ad Hoc Projects: Jump in where needed-this role is ideal for someone who thrives on being a utility player and wearing multiple hats. Other Duties as Assigned Required Qualifications High school diploma required. A bachelor's degree is preferred 4+ years of administrative support experience (required, start-up or nonprofit environment preferred) Proficiency in Microsoft Office Suite (Word, Excel, Outlook) Strong attention to detail, time management, and organizational skills Excellent written and verbal communication skills Ability to lift up to 25 lbs and transport supplies as needed Must have a reliable personal vehicle and valid driver's license Comfortable in a hybrid work environment (3+ days/week in office required) Additional Qualifications Organizational Skills: Strong organizational skills and attention to detail to manage multiple tasks efficiently. Communication Skills: Excellent verbal and written communication skills to coordinate with various departments and external vendors. Problem-Solving Skills: Ability to identify and resolve issues promptly and effectively. Team Player: A collaborative, gritty mindset to work well within a team and support colleagues as needed.
