Administrative Assistant Data Analysis Support The Administrative Assistant Data Analysis Support provides administrative and data-focused support to the Office of Workforce Development in support of the Summer Youth Employment Program (SYEP). This position assists with daily operations, data tracking, reporting functions, and documentation to ensure accurate recordkeeping, compliance, and efficient program delivery. The ideal candidate is highly organized, detail-oriented, and experienced in administrative and data-related tasks within a professional or public-sector environment. CLASS DESCRIPTION: Performs responsible administrative and clerical work with an emphasis on data entry, tracking, and reporting support for a workforce development program. Work includes maintaining records, preparing reports, coordinating communications, supporting compliance activities, and assisting with program operations. The position requires strong organizational skills, accuracy, discretion, and the ability to manage multiple priorities in a structured environment. This is a temporary, part-time contingent position (up to 25 hours per week) and does not include County benefits. Employment is limited to the duration of the Summer Youth Employment Program. Essential Duties and Responsibilities Include the following. Other duties may be assigned. Provide comprehensive administrative assistance, including document preparation, filing, scanning, and records management. Coordinate calendars, meetings, and appointments. Prepare professional correspondence, reports, and internal communications. Respond to phone calls and email inquiries in a timely and professional manner. Maintain confidentiality and handle sensitive information in accordance with County policies and procedures. Data Analysis and Reporting Support: Accurately enter, maintain, and validate data in spreadsheets and internal tracking systems. Track and monitor program metrics such as participant enrollment, attendance, payroll hours, and performance outcomes. Review data for accuracy, completeness, and compliance. Prepare routine reports, summaries, and basic data visualizations using Microsoft Excel or similar tools. Assist program staff with data analysis to support operational planning and decision-making. Program and Operational Support: Support compliance, monitoring, and reporting requirements related to the Summer Youth Employment Program. Assist with audits, quality assurance reviews, and program evaluations. Contribute to special projects and process improvement initiatives. Collaborate with County staff and program partners to meet deadlines and program objectives. SUPERVISORY RESPONSIBILITIES: This position does not have supervisory responsibilities. Minimum Required Education/Experience High school diploma or GED Minimum of one (1) year of administrative, clerical, or data-related experience. PREFERRED EDUCATION, KNOWLEDGE, SKILLS, AND ABILITIES: Experience working in government, nonprofit, education, or workforce development settings. Familiarity with data tracking, reporting systems, or performance metrics. Knowledge of basic data analysis techniques, formulas, and reporting tools. Strong written and verbal communication skills. Proficiency in Microsoft Office applications, including Word, Excel, and Outlook, and/or Google Workspace. Strong organizational skills and exceptional attention to detail. Ability to manage multiple priorities and meet deadlines in a structured environment. Physical Demands and Work Environment Work is performed in an office-based or hybrid environment, as determined by departmental needs. The position operates in a professional, collaborative public-sector setting. Language Skills, Mathematical Skills and Reasoning Ability LANGUAGE SKILLS: Ability to read and interpret program guidelines, policies, and procedural documents. Ability to prepare clear written correspondence and reports. Ability to communicate effectively with staff, partners, and program participants. MATHEMATICAL SKILLS: Ability to perform basic mathematical calculations and apply formulas within spreadsheets. Ability to analyze numerical data for accuracy and completeness. REASONING ABILITY: Ability to apply established procedures to administrative and data-related tasks. Ability to identify discrepancies, prioritize assignments, and exercise sound judgment in handling confidential information.
