Brokerage Services Coordinator Newmark's West Coast Investment Sales teamled by Kevin Shannonseeks a highly motivated and detail-oriented brokerage services coordinator to assist with administrative management tasks for one of the most active investment sales platforms in the country. The team has closed over $75 billion in institutional sales and structured financings and has maintained the #1 market share for office sales in Greater Los Angeles for five consecutive years. Responsibilities Brokerage Services & Marketing Coordination Maintain firm, office, and client brand standards by producing and updating marketing materials using approved templates, including flyers, proposals, tour books, offering memoranda, maps, floor plans, qualification packages, touch pieces, and market surveys. Review marketing specifications to ensure accuracy, consistency, and compliance with firm standards prior to distribution. Coordinate mass marketing campaigns and property marketing blasts using Revere, Campaign Breeze and other approved platforms. Manage marketing reports and campaign performance materials as requested by the brokerage team. Transaction & Deal Support Provide access to and manage secure data rooms within Revere, ensuring accurate and timely document uploads. Compile and submit marketing invoices to Revenue upon deal closing; coordinate with internal stakeholders to ensure proper documentation and approvals. Prepare and distribute closing announcements in accordance with firm guidelines. CRM, Database & Systems Management Maintain and update client, prospect, and buyer databases within Salesforce and Ideal to ensure data accuracy and integrity. Request bi-weekly deal updates from brokers and circulate deal sheets in advance of team meetings. Manage buyer lists and support targeted outreach initiatives. Client & Broker Support Respond to inbound inquiries from outside brokers and internal stakeholders in a timely and professional manner. Provide front-line client support, including greeting clients, directing phone traffic, and coordinating property tours and appointments. Coordinate complex on-site and off-site meetings, conferences, and travel arrangements for brokerage professionals. Administrative & Operational Support Create, maintain, and archive physical and electronic files, including transaction and marketing records, in accordance with firm retention policies. Perform general administrative functions, including preparing correspondence, managing marketing invoices, and submitting expense reports. Qualifications Key Skills Clear and confident written and verbal communication Ability to manage multiple projects simultaneously Highly organized with strong time management Consistently responsive and client-oriented Detail-oriented with the ability to prioritize tasks, and meet deadlines in a fast-paced environment Energetic self-starter who is flexible, organized and conscientious Salary: $60,000 - $65,000 annually The expected base salary for this position ranges from $60,000 to $65,000 annually. The actual base salary will be determined on an individualized basis taking into account a wide range of factors including, but not limited to, relevant skills, experience, education, and, where applicable, licenses or certifications held. In addition to base salary and a competitive benefits package, this position may be eligible for additional types of compensation including discretionary bonuses and other short- and long-term incentives (e.g., deferred cash, equity, etc.).
