Executive Assistant The Executive Assistant is essential to ensure smooth day-to-day operations and administrative support. You will be a thorough and detail-oriented multitasker with a passion for creative, entrepreneurial environments. What You Can Expect To Do Coordinate and facilitate communications between various leaders and departments Prepare meeting agendas, attend meetings, take notes, and prepare follow-up lists Review and proofread presentations, memos, legal documents, and reports, and respond in a timely manner Work with Co-Founder/Principal to manage top priorities and follow-up items within the company and with third parties Prepare documents for execution and coordinate distribution of executed versions to necessary parties Maintain calendar, schedules, and appointment reminders; arrange conference calls and in-person appointments Arrange travel for individuals or groups for various conferences or meetings Liaise with House Manager/Personal Assistant for seamless scheduling Serve as the point of contact for all visitors, vendors, packages, and mail Function as the liaison with outside suppliers and vendors, ensuring the office is fully stocked with office supplies, equipment, and break room snacks Assist with team culture and morale; help with team building activities, happy hours, lunches, service events, and on occasion, parties and retreats Coordinate with the building property management team for building requests Prepare monthly expense reports Interface with external consultants and groups to establish company accounts as needed (printing vendors, etc.) Welcome visitors and new employees; work with onsite Human Resources to ensure desk set up, new hire swag, conference room space, and help with suite/building/parking access Attend meetings as a representative of the company with internal and external partners Maintain a high degree of discretion and confidentiality on all privileged, sensitive information Participate in ad hoc projects with other departments as needed What You Should Have At least 2 years of relevant administrative experience, plus if experienced with C-level executives Interest in real estate Demonstrated ability to be proactive, take initiative, anticipate needs of the team, and exercise independent, sound judgment Strong attention to detail with a high level of efficiency and accuracy Proficiency with Microsoft 365, including Word, Excel, Project, and PowerPoint, is required Experience with Concur or a similar expense reporting system Self-starter with ability to prioritize and multitask Ability to work both independently and as part of a team Excellent communication (both verbal and written) Ability to work well under pressure in time-critical situations and be productive and self-motivated during slow periods Ambition, a strong desire to learn, to achieve, to advance your career Organizational skills; the ability to manage your time, focus, and communicate with clarity A sense of urgency, an internal clock that helps you move with purpose The ability to travel on occasion What You Should Be Personable; you enjoy engaging with those around you and thrive in a collaborative environment Highly organized; with a desire to continuously innovate to make something bigger or better Curious and ambitious by nature; a highly motivated person A person who values hard work; you ideally learned early on how to get things done when it matters An independent self-starter; you don't wait around too long looking for directions from others Highly accountable; you take ownership, follow through, meet deadlines, and care about the quality of your work product A world-class communicator, or the desire to become one Able to work collaboratively in a small team environment; willingness to "roll up your sleeves" and pitch in when and where necessary Ready to work in a fast-paced environment and be part of an amazing team doing valuable work The Company Standard Communities is a leading owner, investor, and developer of affordable and middle-income housing.
