Administrative Operations Specialist 2 The Event and Operations Assistant supports convenings and facility operations at the ASU Barrett & O'Connor Washington Center. Located in the Golden Triangle neighborhood of downtown Washington, D.C., the center hosts a range of academic and public convenings in event spaces throughout the facility, from 20-100 guests. The Event and Operations Assistant plays a key role in ensuring a professional, seamless experience for faculty, staff, students, affiliates and guests. The Event and Operations Assistant is a full-time, in-person position supporting event production and daily facility operations. The work schedule varies weekly based on the schedule of events and will include early mornings, evenings and some weekends. This position serves as the primary facility liaison during meetings and events taking place in the evenings and on weekends, ensuring the event is running smoothly and that the facility is ready for the next scheduled event. The Event and Operations Assistant also supports a variety of facility operations functions essential to efficient, customer-service centered building operations, including serving as the primary back up to the building lobby's front desk staff. Recent graduates majoring in Hospitality & Tourism, Event Management, Business, or related fields are encouraged to apply. Essential Duties: Assist with the coordination, setup, and on-site production of meetings and events hosted at the Washington Center. Utilize space scheduling software to create, modify and manage event and meeting space reservations. Communicate with meeting hosts to coordinate event details including timing, guest lists, room configurations, audiovisual needs, catering, local accommodations, and other logistical requirements. Serve as day-of event coordinator for assigned meetings and events, providing hands-on operational support and ensuring a seamless, high-quality guest experience Ensure event spaces are properly set and ready in advance of scheduled start times; reset and reconfigure furniture and equipment before, during, and after events as needed. Provide daily coverage for the building lobby front desk during staff breaks and absences. Duties include welcoming, registering and directing guests, answering phones, receiving and distributing packages, and serving as a knowledgeable ambassador for the center. Assist in preparing monthly building and event reports, including post-event summaries. Assist with tasks which support the efficient operation of the facility, including producing daily room signage and maintaining office and hospitality supply inventory. Support the operations and events team in developing and refining processes, procedures, and templates to improve operational efficiency. Perform additional duties as assigned in support of the center's operations Desired Qualifications: Experience in the planning, organization and coordination of events Must be located in the Washington, D.C. metro-area Flexibility to work Monday-Friday evenings, weekends or during non-traditional hours, as required to support scheduled events Must have reliable transportation to downtown Washington, D.C. Experience in establishing and maintaining effective working relationships Demonstrated 'can do' attitude, willing to assist with any task Experience in work that requires attention to detail Experience taking the initiative to complete work which hasn't been assigned Evidence of effective communication and interpersonal skills, ability to interact professionally with event hosts and guests Reliability, punctuality and the ability to adapt quickly to shifting priorities Experience in identifying quick, creative solutions to immediate problems that may arise during the planning and execution of events Ability to manage time effectively, especially in high-pressure situations leading up to and during events Ability to perform effectively under pressure. Working Environment: Activities are performed in an environmentally controlled office setting subject to extended periods of standing, walking, or sitting. Frequent bending, reaching, lifting, pushing and pulling up to 30-50 pounds, moving and setting up tables, chairs and equipment for events. Regular activities require the ability to quickly change priorities. Activities require the employee to clearly communicate verbally, read, write, see and hear to perform essential functions. Work schedule will vary based on scheduled facility use and will include evenings and weekends. Driving is not required for this position. Off-Campus: Washington, D. C.
