Position Type: Secretarial/Clerical/Administrative Assistant Date Posted: 3/11/2026 Location: Central Office The Seymour Public Schools is seeking a motivated and dedicated professional to serve as the Administrative Assistant to the Superintendent and Director of Curriculum & Instruction. This position is vital to our district as the incumbent has regular interaction with our staff, students, parents/families, Board of Education, and community at-large. Position: Administrative Assistant Reports To: Superintendent/Director of Curriculum & Instruction Location: Seymour Schools Central Office Work Year: 12-month position Hours: 8:00 am - 4:00 pm Start Date: ASAP Pay Range: Negotiable based on experience and qualifications; final approval by the Board of Education Benefits: Eligible for health care benefits, life insurance, paid vacation, paid sick leave, paid holidays, paid personal days, and retirement benefits Duties of the position include the following, and candidates must be able to show demonstrated experience and/or applicable knowledge in the majority of these areas: Perform general office tasks including but not limited to maintaining an electronic and paper filing system, answering calls, receiving mail, maintaining appointments through online calendar systems, submitting mileage, ordering supplies, and preparing and processing purchase orders; Prepare reports, communications, requests for information, brochures/flyers, and announcements for review, use and distribution by the Director of Curriculum & Instruction and Superintendent; Support Director of Curriculum & Instruction with planning and organizing professional development days, district wide events (ex: new teacher orientation, district professional learning); Serve as grant coordinator to perform tasks to manage grant accounts, including monitoring approved grant budgets, reconciling accounts with business office, keeping supervisor(s) apprised of budget status; Prepare, copy, and complete mailings to parents of students who have out of district bus transportation and coordinate busing for field trips and special events with building administration; Serve as PowerSchool liaison (under guidance of Director of IT), supporting centralized registration processes, performing weekly review of the student information system as necessary, executing all roll ups; Prepare and communicate monthly enrollment figures; Perform tasks including exporting and uploading data to external systems in order to complete and submit multiple local, federal and state reports (ex: TCS, ELL, OCR, ED 165); Assist with district and state assessments to ensure current rosters are accurate and systems are issue-free, prepare uploads of class lists for state and district assessments; Coordinate grant funded tutors, including communications for start and end date, monitoring of funds; Assist with summer learning programs, compiling recommendations, ordering, mailings to parents, etc.; Coordinate information on student teaching and intern placements; Coordinate information on homeschooling and tutoring for students in need; Coordinate information for ELL students including entrance and exit letters; Provide back-up as necessary for visitor/door entry system Manage special projects as necessary; All other duties as assigned by supervisor, Director of Curriculum & Instruction and/or Superintendent Qualifications: Preference of a Bachelor's Degree; minimum of an Associate's Degree (or greater) in education, administration, business management or a related field of study; Demonstrated intermediate/high level proficiency in the use of Microsoft Office software applications (Word, Excel, PowerPoint) and Google Suite in a school-based setting, PowerSchool experience a plus; Excellent oral communication and interpersonal skills; Adaptability to work cooperatively with members of the community, families, students, staff, and general public in a fast-paced and dynamic environment; Demonstrated experience working with the utmost confidentiality; Demonstrated experience relating effectively with staff, parents, students and the public; Demonstrated experience multi-tasking - planning, organizing and setting priorities; Demonstrated experience working with initiative independently, at times with undefined parameters, and under general direction.
