Collector Operations Specialist Department: Collectors Reports to: Senior Operations Manager Pay Group: Exempt Job Summary: The Collector Operations Specialist will partner with Collector Leadership, Laboratory Operations, and Compliance teams to evaluate collection workflows, identify operational risks, and implement process improvements that support quality, regulatory adherence, and operational efficiency. As the Collector Support Specialist, you will work independently but also function effectively as a member of the Gravity Team. You will be a subject matter resource for collection procedures, collector workflows and operational best practices for collectors as they relate to collection, shipping, order entry, and specimen storage. This position will assess operational issues, recommend corrective actions, and coordinate training and operational initiatives. You will partner with the Collector leadership team to work on various ongoing and short-term projects. You will work in a fast-paced, customer-focused, and challenging environment. All job duties shall be performed in accordance with all applicable State and Federal laws, and regulatory groups (CAP, CLIA, etc.). Responsibilities and Duties: Must be able to travel up to 25% of the time, including on short notice. Evaluate collector workflow compliance and identify improvements train new collectors and train on new procedures with existing personnel. Addresses all compliance and general concerns with leadership. Collaborate with sales reps, customers, and clients in cross departmental initiatives. Serve as liaison between field collectors, lab operations and commercial sales. Serve as subject matter expert for collectors, clients and internal stakeholders regarding specimen collection procedures Coordinate operational initiatives and support collector leadership with reporting and process improvements Stay current on training and best practices for urine and other specimen collections. Provides instruction and support to Collectors to resolve issues, answer questions, and monitor collection practices Audit and analyze supply orders from the Collectors Analyze collector workflow trends, order entry accuracy and performance and provide recommendations Identify compliance risks and implement corrective actions Exercise independent judgment in assessing field issues Encourage good morale of Collectors through active engagement and communication Monitoring or observing specimen collection and entering orders into computer systems. Adheres to confidentiality expectations and HIPAA requirements. Adheres to all State and Federal laws, guidelines and regulations including compliance. Other duties as assigned. Required Skills and Abilities: Clear understanding of the accessioning and laboratory workflow at Gravity Diagnostics. Excellent communication and collaboration skills. Ability to handle multiple priorities. Excellent organizational skills and attention to detail. Strong problem-solving skills with demonstrated ability to analyze operational issues and process improvements. Ability to work independently or in a team-oriented environment. Ability to function well in a high-paced and at times stressful environment Ability to work overtime as needed. Basic computer skills in Microsoft Office applications and email. Education and Experience: High School Diploma or GED required. Associates or Bachelors degree in healthcare or related field strongly preferred Experience in urine specimen collection and phlebotomy required Experience with record keeping functions preferred Phlebotomy Certification required. Proficient in Microsoft platforms (Outlook, Teams, Word, Excel, PowerPoint) Minimum of 2 years of experience in the medical field . Must possess a valid driver's license, provide proof of auto insurance, and have an acceptable driving record. Physical Requirements: Regular handling of biological specimens, with potential exposure to bloodborne pathogens and other infectious materials. May work in environments with varying temperatures, odors, or other clinical conditions. Use of personal protective equipment (PPE) is required. Ability to remain in a stationary position (sitting or standing) for extended periods of time. Ability to operate a computer, keyboard, and other standard office equipment for prolonged periods of time. Must maintain a professional, safe, and secure work-from-home environment that supports productivity and protects confidential information. Must be comfortable monitoring and observing specimen collection. Must be able to use your hands and arms in handling, installing, positioning, and moving materials, and manipulating things.
