Overview The Talent Associate serves as the first line of support for employees and managers, owning day-to-day onboarding execution, employee inquiries, and coordination across HR systems and partners. This role is highly employee-facing and operational, ensuring a smooth experience from pre-Day 1 through an employee's lifecycle. The Associate partners closely with Talent Generalists, the offshore Coordinator, IT, and Payroll teams This role is based in our Chicago, IL office. ResponsibilitiesEmployee Support & Inbox Management Serve as first-line coverage for the shared Talent inbox Respond to employee questions related to policies, onboarding, and basic HR processes Escalate complex cases to Talent Generalists as appropriate Own all Day 1 and pre-Day 1 logistics, including: Manager onboarding emails and survey completion reminders Credential retrieval and orientation follow-ups I-9 documentation reminders Weekly new hire announcements First paycheck and buddy emails Badge ordering for Chicago-based hires Coordinate and support new hire orientation, including: Updating orientation decks Presenting during orientation sessions Managing calendars, conference rooms, and invites Compliance & Employment Documentation Monitor background check completion and escalate issues as needed Manage I-9 processing: Ensure Section 1 completion by Day 1 Review documentation and complete Section 2 by Day 3 Handle reverifications and Global Mobility updates Communicate visa-related updates to Payroll and Global Mobility Operational Support Partner with the offshore Coordinator to send PD and IMAC ticket details daily Managing all payroll transactions with payroll specialists Filing of employment documentation in Docusign CLM (Memos, I9 documents, accommodations, work arrangements, etc.) Assist Talent Generalists with: Terminations and exit coordination (equipment return, final paycheck, system access, etc.) Leave administration follow-ups Accommodations and FWAs Support audits, data integrity requests, and ad hoc reporting Maintain rosters and trackers (e.g., EA roster) QualificationsStrong customer-service orientation Comfortable operating in fast-paced, deadline-driven environments Clear communicator with strong organizational skills Ability to balance employee experience with operational accuracy Additional Skills 0-1+ years of HR or relevant operational experience Working knowledge of HRIS systems Strong Excel skills Familiarity with I-9 and onboarding processes preferred Additional information Our Publicis Groupe motto "Viva La Différence" means we're better together, and we believe that our differences make us stronger. Compensation Range: $40,280 - $53,445 annually. This is the pay range the Company believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position, and the Company reserves the right to modify this pay range at any time. Temporary roles may be eligible to participate in our freelancer/temporary employee medical plan through a third-party benefits administration system once certain criteria have been met. Temporary roles may also qualify for participation in our 401(k) plan after eligibility criteria have been met.
