Job Description: GENERAL PURPOSE Join our team as a Client Billing Specialist where you will play a crucial role in preparing client invoices with precision and timeliness. You will ensure the proper execution of service lawyer instructions, contributing to a seamless billing experience for both internal and external clients. ESSENTIAL FUNCTIONS Key responsibilities include: Accurately prepare and process both standard and complex client invoices using Elite 3e software, adhering to attorney directives and billing requirements such as task-based, parent-child, bankruptcy, and specialty billing. Handle billing for clients with Alternative Fee Arrangements (e.g., fee deferrals, step discounts, fee caps) while managing high-profile client requests. Make necessary time entry adjustments as requested by legal staff to ensure accurate billing. Conduct special projects and compile statistics in reports concerning past/present balances, billing statuses, and account verifications as necessary. Respond to client inquiries via telephone and email, collaborating with lawyers to address billing content and concerns effectively. Additionally, you will: Explain billing policies to partners, associates, legal secretaries, and paralegals clearly, through various communication methods. Ensure compliance with Outside Counsel Guidelines to minimize invoice rejections and reductions. Collaborate with legal staff to discuss unique billing arrangements and enhancements of the Elite 3e system. Demonstrate a commitment to regular attendance and be prepared to work overtime to meet monthly deadlines. SPECIFIC SKILLS REQUIRED We are looking for someone with the ability to: Communicate effectively, both verbally and in writing. Accurately calculate figures and amounts such as discounts and billing rates. Follow detailed instructions, addressing problems with several variables in standardized situations. Interpret and implement Outside Counsel Guidelines and Client Engagement Agreements accurately. Quickly type 40 words per minute and proficiently use a ten-key calculator. Build effective relationships with all levels of firm personnel. Other skills include: Fluency in standard accounting and billing procedures. Meticulous attention to detail, strong organizational skills, and the ability to multitask efficiently. Capability to perform under pressure with high volumes of requests. Proficiency in MS Office applications, specifically Excel and Word. EDUCATION AND EXPERIENCE The ideal candidate will bring 3-5 years of related billing experience along with an AA degree or equivalent. Experience in professional services accounting is highly desirable. The compensation range for this position reflects market conditions and experience levels and may vary. Candidates can expect the following annual compensation ranges: Washington: $64,210.00 to $93,960.00 Los Angeles: $70,890.00 to $103,730.00 Oregon: $61,640.00 to $90,200.00 San Diego: $69,990.00 to $102,420.00 San Francisco: $77,690.00 to $113,690.00
