Position Goal:Responsible for overseeing effective daily operations of the clinic and any related satellite clinic operations of Hughston Clinic Orthopaedics ("HCO").Position Responsibilities: Answer to Practice Administrator in all matters of Clinic operations Supervise and mentor office staff and personnel. Oversee/order supply and DME inventory, ensures that mail is opened and processed, offices are opened and closed according to Hughston procedures. Ensure proper training is completed with new hires for Front Office and Clinical Staff. Oversee daily office operations and ensure process efficiency. Monitor work status and progress for all satellite offices. Responsible for Front Office and clinical staff's daily operations efficiency. Maintain the call schedule/coverage. Process all invoices and forward all contracts to main clinic finance office. Calculate and submit daily deposit for the clinic. Enter and approve PTO and timesheets. Responsible for tracking productivity of employees. Liaison for all complaints, internal and external, to include handling patient discrepancies as well as doctor complaints, and responding to all complaints verbal and written. Maintain physician's appointment templates. Provide resolution to any office issues. Prepare reports and manage assigned projects to include monthly referring provider reports. Coordinate with Administrator and Human Resources for any hiring or employee related needs. Assist in interviewing and selection procedures. Handle various personnel matters including forms and procedures as required. Conduct annual evaluations and assessments. Communicate effectively with Hughston's Billing Department, insurance companies, and patients regarding billing. Implement and assist with any new or changed guidelines for the clinic operation. Meet with administration to review operational issues and discuss strategic plans. Maintain strictest confidentiality. Preserve the confidentiality of the clinic's patients, employees, physicians, and other relationships. Must be able to make effective and independent operational decisions. Assist with special projects as needed. Experience: Required: Three years work experience in a medical office setting Preferred: Previous experience in a management role Education: Required: High school diploma or equivalent. Special Qualifications: Required: Must have excellent customer service skills. Must have knowledge of statistical reporting, HIPAA personnel practices, medical terminology and inventory principles, and medical office setting. Must have excellent communication skills, both written and oral. Must be able to work independently Must have a valid driver's license and satisfactory motor vehicle record (MVR). Travel is required.
