Salary: $15.18 - $15.94 Hourly Location : Beeville Job Type: Hourly Division: Facilities Department: Facilities Opening Date: 02/09/2026 Closing Date: 3/20/2026 11:59 PM Central FLSA: Non-Exempt Essential Functions The Physical Plant and Facilities Operations Construction Administrative Assistant supports facilities management and capital project operations by tracking, processing, and maintaining project and maintenance documentation, including work request distribution, project forms, standard contracts, amendments, change orders, submittals, RFIs (Requests for Information), construction-related forms, and project closeout documents. The position prepares complete facilities and construction project packages by collecting required documentation, obtaining required approvals and signatures, making copies, and assembling materials for proper internal and external distribution. The position coordinates closely with Business Services and the Procurement Staff to create, process, and track purchase requisitions and purchase orders in accordance with College procurement policies and procedures. Duties include, but are not limited to, answering phones, taking and relaying messages, providing general information, transferring calls, entering requisitions, monitoring purchase order status, distributing facility work requests, and maintaining accurate and organized records within facilities management and financial systems in support of preventive maintenance, corrective maintenance, and capital improvement activities across the campus. Job Duties and ResponsibilitiesApplicants must have at least two years of full-time, or equivalent part-time experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: records management, project documentation, contract administration and/or program management. Support the college community by performing key administrative and organizational tasks for the department maintaining office calendar of events and processing work requests. Support the college community and outside constituents as needed through the daily operations of the office. Provide exceptional customer service to all internal and external customers. Evaluate office procedures to ensure workflow is efficient and effective. Plan, implement, and evaluate various clerical activities and ensure information is disseminated in a timely fashion to staff. Order, receive, and verify for accuracy all supplies and materials for Physical Plant Operations. Initiate purchase order requisitions, maintain documentation of requisitions and provide business office services, all required documentation to complete purchases. Operate and maintain office equipment. Participate in meetings, workshops, and personal improvement classes as required. Work on office reconciliations during the registration period and daily. Work closely with physical plant & facility personnel to ensure facility operations meet the needs of the college community. Must be organized and detail-oriented. Experience using and comfort with technology, basic Microsoft Office, and work order software, etc., as well as the ability and willingness to learn new computer-based programs. Applicants should be familiar and comfortable with a busy office environment. Background/experience in a construction environment preferred. Ability to communicate effectively in oral and written expression. Ability to interpret complex rules and regulations. Ability to work under strict time constraints. Ability to follow written and oral instructions. Ability to establish and maintain harmonious working relationships with other coworkers. Ability to work independently. Ability to retrieve, revise, edit, organize, and store/file documents. Ability to exercise discretion in handling confidential information. Familiarity with OSHA preferred. Qualifications Minimum Qualifications: High school diploma or equivalent required. Applicant must have at least two years of full-time, or equivalent part-time experience in office management, office administration, business administration, or business management, the major duties of which included one or more of the following functions: records management, project documentation, contract administration, and/or program management. An Associate Degree may be substituted for one year of working experience. Preferred Qualifications: Associate's degree in Business Administration or a related field. Supplemental Information Other Duties: Ability to file material in accordance with standard filing procedures to maintain accurate records. Knowledge of types and applications of standard office filing systems, clerical office practices and procedures, including office recordkeeping. Ability to scan, file, and work with scanned documents. Interdepartmental work is an essential function of this position and will require effective collaboration with Information Technology (IT), Campus Police, and other College departments as needed. Will participate in college responsibilities such as the Institutional Effectiveness Committee, Task Force, etc. Travel Requirements: Periodic travel to all four campus sites is required for training and/or to attend meetings as needed. Environment: Work is generally performed in an office setting with frequent interruptions and changes in the workflow/volume. May require some outdoor work for CBC events.
