Office Manager Royal Glass & Aluminum is a growing commercial glazing contractor based in Fennville, MI. We specialize in aluminum storefront, curtain wall, and glass systems, partnering with general contractors, construction managers, and owners to deliver high-quality projects throughout the Midwest. Position Overview: This position will oversee the office operations of the company and report directly to the Operations Manager of Royal Glass, as well as a secondary reporting responsibility to the CFO of Lakewood Construction. The Office Manager leads the accounting function of the business with support from Holland Accounting Team, and organizes and assists with all functions of operations scheduling, working with Royal Operations Management to coordinate installation activities. The Office Manager is responsible for keeping the office running smoothly and maintaining a high level of communication with all team members. Responsibilities: Greet and direct clients and visitors. Answer and direct phone calls. Books all travel reservations. Mail pickup and drop off. Manages all mail and shipments through USPS, Fed Ex. Manages inventory purchase orders and orders all office supplies for office and field employees. Oversees maintenance of office equipment as needed. Coordinate repairs with third party vendors as needed. Code accounts payable invoices, obtaining approvals for payment, and entering invoice data into the computer. Mail and file payable checks on a weekly basis. Primary billing responsibility for accurate and complete AIA documents, Sworn Statements, and Waivers of Lien. Accurately prepare various legal documents and other pertinent supporting documentation as required. Maintain accurate and organized files of all accounts payable invoices, checks, and various reports. Close out completed jobs by running computer reports, purging unnecessary paperwork, and placing the accounting job files in the storage archives. Maintain petty cash and issue checks to replenish, as needed. Maintain records of all company issued credit cards including the handling of credit card applications, assigning cards to individuals, and the payment of credit card invoices. Complete company Credit Applications when setting up accounts with new vendors, suppliers, and subcontractors. Assist in preparing and maintaining job folders with all necessary documentation. Processing timecards and oversees third party payroll service. Completes New hire paperwork with support from Holland HR team. Order insurance certificates as needed per contract instructions. Track attendance, vacation, sick time, etc. Coordinates contract printing, assigning review responsibility to Management, and signing / returning all contracts. Maintain truck maintenance schedule (annual inspections) DOT Annual and Bi-Annual Registrations General Manager directs Complete DOT audits as requested Maintain EZ Pass and Prepass transponders for truck travel through toll roads Maintain Joel's / Lead Estimator bid due calendar Order t-shirts, sweatshirts and hats. Other tasks that might come up during client interactions. Required Skills/Abilities: Excellent verbal and written communication skills. Excellent interpersonal skills Excellent organizational skills and attention to detail. Time management skills with a proven ability to meet deadlines. Strong analytical and problem solving skills. Able to prioritize and assist others with time management planning. Acts with integrity, professionalism, and confidentiality. Proficient in Microsoft Office Suite or related programs and able to learn other software systems. Basic understanding of office equipment. Understanding of clerical procedures and systems such as record keeping and filing. Able to work independently and identify and solve problems. Education and Experience: High School diploma or equivalent required. Bachelor's Degree or some college preferred. Prior experience working in office environment with progressively increasing responsibilities. Physical Requirements: Prolonged periods of sitting at a desk and working on a computer Must be able to lift up to 25 lbs at times. Attendance in office required. (Potential for remote work is minimal due to highly interactive office environment. This role's presence is vital to keeping business operational.)
