Job Summary: The Manager, Student Enrollment & Systems (MSES) plays a critical role in the Breakthrough Public Schools family experience continuum by supporting new scholar enrollment network-wide. The MSES assists families in exploring school options, answering questions, supporting them in completing an application, finalizing their registration, and leaving families with a great first impression of the network. The MSES has sharp critical thinking and decision-making skills and is passionate about every child having access to a high-quality education. The Manager, Student Enrollment & Systems is responsible for working collaboratively with multiple leaders across our network, ensuring data integrity and providing a high-quality experience for every family. Essential Job Functions: Other duties may be assigned. Applications, Registrations, & Enrollment Systems Lead the collection of student applications and documents in partnership with school-based teams; ensure that all applications are complete and accurately entered into the BPS enrollment management system Ensure that every enrollment milestone is executed on time and with fidelity Manage the annual enrollment lottery and waitlists Develop and manage the transfer process between BPS schools Utilize the enrollment system and Power School (SIS) to ensure the accuracy of student information Engage families throughout the enrollment process; develop creative ways to convert applications into viable new enrollments Evaluate and make suggestions to streamline the enrollment processes; document the enrollment process and improvements to ensure understanding and execution Monitor and track enrollment goals and collaborate with school staff to close enrollments Evaluate and improve the practices in the student enrollment experience, including timely, effective, and positive engagement with families, and ensure the team is providing exceptional customer service throughout the entirety of the enrollment experience Relationship Building, Communication, & Collaboration Work with the network-based nurture team to build relationships with various stakeholders to ensure families seamlessly transition from registration to initial connection with the school community Support with recruitment initiatives such as phone banking, canvassing, tabling at community and recruitment events, etc., to enroll new students Represents our schools at community meetings and neighborhood events as needed Communicate professionally via verbal and written communication. Produce written correspondence Share communications with school-based staff to ensure they understand the enrollment process and the status of the enrollment at specific campuses Work collaboratively across the network with school leaders to align on strategies to enroll new families and set each school up for a successful start of school Data Management: Manage the Enrollment Portal system and the internal tools used to manage enrollment Maintain accurate data for record-keeping in multiple software systems, including obtaining a variety of information, records, applications, or registration materials Perform regular data integrity checks to ensure scholar enrollment data is accurate Work to improve data integrity and reduce data errors in the enrollment process Track and analyze all data regarding student recruitment benchmarks and goals Provides comprehensive and data-informed analyses necessary to make sound decisions about executing the enrollment strategy Report regularly on personal and team-level progress, including school-level enrollment data and field activity (e.g., individual meetings, calls, events, visits, etc.) Skills and Qualifications: To perform this job successfully, an individual must be able to perform each essential duty accurately. Passionate belief in the mission of Breakthrough Schools Proven experience managing a workstream to achieve results Approaches their work with a growth mindset, always seeking to make improvements Ability and desire to take the initiative to achieve organizational outcomes and work in a fast-paced, highly disciplined, but sometimes unpredictable and ambiguous environment Demonstrated ability to work autonomously, collaboratively, and/or under the direction of management as needed Highly developed communication skills and the ability to influence others by persuasively presenting thoughts and ideas to gain commitment and agreement for proposed ideas and solutions; effective results-driven communication skills Ability to build consensus and collaborate Ability to maintain a high level of data integrity and privacy/confidentiality of personal information Strong organization skills, time management, attention to detail, analytic skills, and excellent follow-up skills with a high sense of urgency; demonstrated ability to successfully handle multiple projects concurrently Demonstrated strong networking and relationship-building skills Excellent computer skills and proficiency with Microsoft Office applications, Google Docs, and database management are required Experience with Salesforce preferred Able to quickly learn new systems Maintain a positive, empathetic, and professional attitude towards families and staff at all times Attend all necessary meetings and training Participate in early evening and weekend meetings and events as needed Education and/or Experience: 3-5 years of experience in customer development, customer service, gathering and analyzing data to adjust strategies and drive outcomes, or other metric-driven job experience is strongly preferred Equivalent work experience and/or Bachelor's degree in a related field Location: The position is primarily located in Cleveland, Ohio. Candidates must have access to reliable transportation as frequent site visits and meetings across Cleveland are required. Frequent evening and weekend hours are required, especially during May through August.
