We specialize in supporting federal clients with national security and foreign affairs programs by delivering tailored training and expert analysis. We are seeking a proactive Lead Scheduler to act as the key scheduling and course management expert for an Air Force foreign language training program. In this pivotal role, you will leverage government-provided LMS and scheduling tools to coordinate and manage the training of over 1,100 students each year across more than 30 languages. This dynamic position requires exceptional organizational skills, meticulous attention to detail, and the capability to handle high-volume scheduling across varying time zones. Below is an overview of key responsibilities and qualifications for this position, contingent upon contract award. Utilize the LMS/scheduling application to manage real-time updates on student approvals and finalize instructor arrangements. Assess instructor availability to effectively match students with instructors across various languages and proficiency levels. Ensure final scheduling occurs no later than 45 calendar days post-student approval. Oversee Fixed, Flex, and OnDemand scheduling types while avoiding back-to-back weekly course days whenever possible. Distribute registration confirmation emails and coordinate with clients to send welcome letters, including instructional resources to confirmed students. Monitor student attendance closely, addressing attendance concerns promptly with instructors and students, and informing relevant parties of attendance-related issues as they arise. Maintain accurate student status records aligned with client protocols. Address student-reported scheduling conflicts, evaluating options for rescheduling that support instructional continuity. Contribute to Monthly Status Reports, detailing course metrics, student throughput, and billing summaries. Escalate complex scheduling, attendance, or behavioral issues to the Program Lead and the client when necessary. Requirements MUST be certified in Microsoft Word, PowerPoint, and Excel, or demonstrate equivalent proficiency. Minimum three years of experience in educational and training course scheduling. At least three years of helpdesk management experience. Exceptional organizational skills, with a proven track record in managing high-volume scheduling. Experience with web-based scheduling and data management applications is essential. Strong written and verbal communication abilities. Detail-oriented with a focus on accuracy in data entry and record-keeping. Prior Air Force or military background is preferred. Must be eligible to work in the United States.
