JOB DESCRIPTION Position Title: Office Manager Status: Non-Exempt, Hourly, 20 Hrs, .5FTE Negotiable based on skills. Supervisor's Title: Pastor/Administrator Approval Date: 02/01/2024 Revised: 02/01/2024 Compensation: Job Summary: The primary focus of the Office manager is sharing in the administrative and managerial ministry of the Pastor. The Office Manager is responsible for being the primary person who handles onsite finances and connects with our offsite accounting firm. This person must be highly skilled and proficient in technology, marketing, and communication. Actions required to be consistent with Culture and Values: Faith Forward: Lead with liturgy, prayer, devotion and discernment of the Holy Spirit. These realities are presented in a clean, organized, safe, and functionally beautiful manner. One must live truly detached from possessions and draw hearts and minds upwards towards heaven through the senses. Knowledge, Skills, & Abilities: Knowledge Requires a minimum of a high school diploma or equivalent and a college degree. Practicing Catholic in good standing. An understanding of Church structure, knowledge of religion, obedience to the Deposit of Faith, and loyalty to the parish and community. These are essential ingredients in having a good relationships with the pastor, staff, parishioners and community members. Experience with Microsoft Office Suite, parish database applications, basic accounting concepts, and the use of office machines required Comprehensive knowledge of grammar, spelling, and punctuation. Holds an understanding of the discipleship culture of the Green Bay Diocese and how it impacts everyday actions and decisions Skills & Abilities To live a life of prayer for the sake of the parish's mission Graphic design and Canva Excellent written and verbal communication skills Professional interpersonal skills, including listening Proficient computer skills; Including Microsoft Office Suite and our E-Catholic database program (training provided) Accounting skills are a must, and experience with Quickbooks An intense and uncompromised ability to maintain confidentiality Detail-oriented and organized Possess the ability to multi-task IT and computer skills including Google Admin Suite. Duties and Responsibilities: "Embrace the mission and vision of the Catholic Diocese of Green Bay, the local parish, and work in accordance with Catholic Social Teachings and the moral and ethical values of the Catholic Church." Employees are expected to attend retreats, seminars and small group discussions where faith is discussed, at the behest of the pastor. Administrative Area: Be a member of the Parish and School's administrative/leadership team. Design and complete the weekly parish bulletin in Canva Maintain Sacramental Records for the Parish Manage E-Catholic Software Lead marketing and branding efforts Assist with the month-end closing financial procedures Manage SCRIP program (online only) Manage Cemetery accounts and Perpetual Care Assist the Pastor in the coordination of CCD database and communications Be a liaison between the parish and the diocese, and complete any necessary diocesan paperwork Apply for grants Be the go-between in our relationship with our offsite accounting firm. Enter bills, print checks, perform reconciliations, and prepare statements for the Finance Committee Work with vendors in purchasing supplies Perform Human Resources functions such as managing benefits, creating contracts, managing unemployment and/or disability cases, etc. at the request of the pastor. Learn financial procedures for the parish so as to assist with financial audits and be able to step into full management in the short-term absence of the pastor. Schedules Mass Intentions according to parish policies Assist with fundraising efforts Input the Parish and School budget in concert with the Finance Committee May be assigned to the parish or school office at times for office help Performs other duties as assigned by the pastor ADA Physical/Visual/Mental Demands: Position requires the ability to react to fast paced and demanding environment; verbally converse with individuals; climb stairs and sit for extended periods of time; move and lift objects of 20 to 30 pounds. Requires use of office equipment including telephone, personal computer, keyboard, copier and Chromebook machines. Must be able to work with complicated and stressful situations. Typical Working Conditions: Work is performed in an office environment, on the parish grounds, and at the parish school and in the field Substantial amount of contact with employees and visitors. Food may be consumed in the parish office, but not meals, and never over any paperwork or computer equipment. The church rectory (priest residence) is available for emergency bathroom use but is otherwise a private residence. A break/lunch room is provided in the church kitchen or school cafeteria. Normal work hours are defined in the work agreement. The work environment is not air conditioned. Nature of Supervision Received: Work is performed under the direct supervision of the Pastor. Position requires the ability to work both independently and in cooperation with other support staff, to accomplish specific tasks assigned in a timely manner meeting various deadlines. Judgment Exercised/Decisions Made: Decisions are generally routine in nature. Must maintain professionalism and confidentiality at all times. Financial Responsibility: Responsible for effective use of time and budgeted resources. Has access to sensitive financial documents and personal data, which requires confidentiality and integrity. Supervision Exercised/Number of Employees Supervised: None. Manage volunteers and Parish Secretary.
