In this essential role, you will manage various functions that ensure a seamless onboarding process for both field technicians and office personnel. Your responsibilities will include coordinating employee equipment, issuing badges, distributing uniforms, managing Motor Vehicle Record (MVR) reporting, and providing vital administrative support to our HR initiatives. You will be instrumental in curating a professional experience for new hires while maintaining precise records and supporting operational readiness. Coordinate all pre-employment steps, including background checks, drug screenings, and MVR reports. Prepare and issue onboarding documents, ensuring their timely completion. Schedule and organize new hire orientation sessions. Ensure compliance with federal regulations for I-9 documentation. Input new hire details into HRIS and payroll systems. Employee Transition Management Oversee the offboarding process, ensuring accurate separation documentation and system updates. Process employee status changes, transfers, and terminations within HRIS and other systems. Equipment and Field Readiness Assistance Order and track employee ID badges, uniforms, and onboarding materials. Maintain logs for badges, uniforms, and all issued equipment. Ensure readiness for new technicians being deployed into the field. MVR Tracking & Compliance Submit and monitor MVR checks for employees who have driving responsibilities. Maintain tracking logs to ensure compliance and notify leadership of any issues. Assist with periodic MVR re-checks and documentation retention. HR Administrative Support Assist with internal audits, data reconciliation, and compliance reports. Maintain spreadsheets and tracking tools for onboarding, compliance, and personnel changes. Support employees with benefit enrollment logistics. Organize and maintain personnel files as per company policies. Provide administrative support to HR leadership as needed. WHAT YOU NEED TO SUCCEED: Education & Experience Associate's degree in Human Resources, Business Administration, or a similar field preferred. 1-3 years of experience in HR, administration, or coordination preferred. Background in field-based, service, or construction environments is strongly preferred. Proficient in Microsoft Excel and ADP Workforce Now HRIS. Skills & Competencies Highly organized with great attention to detail. Exceptional follow-up and task management skills. Professional written and verbal communication skills. Ability to manage multiple onboarding timelines effectively. Thrives in fast-paced, operational environments. Customer-service focused, especially towards field employees. Process-oriented with strong documentation habits. PHYSICAL REQUIREMENTS: Ability to sit at a desk for long periods. Capacity to respond swiftly to urgent requests. Helios HVAC/R Services LLC provides a competitive salary, with compensation for this position ranging from $25-$27 per hour, dependent on factors like market location, job-related knowledge, skills, and experience.
