Contract Administrative Specialist THIS POSITION IS OPEN UNTIL FILLED. This position will give the opportunity to work with a dynamic group that is very team oriented and allows for a greater knowledge of the intricacies of public contracting and what it takes to manage a successful public works or private development construction project. This position performs contract administration work in support of public works professional service agreements, capital project construction, and developer-related projects. The position's activities and accuracy of work impacts the City's Certification Acceptance status for federally-funded projects. The position works with Project Engineers, Construction Inspectors, contractors, developers, and property owners. Primary Duties In this role you will: Prepare and process contract and related legal documents, project correspondence, and coordinates construction meetings for developer public facility extension agreements and formally bid and non-formally bid construction contracts from application/solicitation through completion. Monitor contractor compliance with state and federal grant requirements, WSDOT regulations, City Code, project specifications, and state statutes related to public work projects. Process and track the status of contractor submittals, required material documentation for various federal and state grants and loans, material tickets, requests for information, and force account paperwork. Prepare and monitor consultant and service agreements, amendments, task assignments and associated documentation from solicitation through completion. Process complex purchase orders; prepares pay estimates and invoices for contracts and agreements for approval; assists project managers by monitoring project budgets. Provide key technical and administrative support to the City's Capital Project Management and Development team, as well as consultants, service providers, developers, and contractors. Minimum Qualifications We are looking for candidates that have: Graduation from high school, or equivalent AND Two years of full-time related work experience Advanced skills and experience in computer programs (Outlook, Word and Excel) is required. OR Any combination of relevant education and experience which would demonstrate the individual's knowledge, skills, and ability to successfully perform the essential elements and responsibilities listed above. We would love if you have: Previous experience in public works construction and/or contract administration in a municipal environment is highly desirable.
