As a Specialist, Executive Administrative Support for the Charles Schwab Digital Retail department, you will provide administrative support to Managing Directors. Key Responsibilities for this role include, but are not limited to: Managing complex calendar time management to balance business needs for senior leaders. Optimization of regular and ad hoc meetings including conference room and logistical arrangements. Collaborating across the enterprise on coordination and calendaring for critical gatherings and leadership meetings. Problem solve and propose alternative plans for a wide array of potential challenges. Travel management including reservations, lodging, organization, invoice processing and expense reporting. Collaborate with the Business Management Team to establish yearly calendar for all Managing Directors, Team-wide Events, Catering, and engagement. Supporting projects to improve the delivery of legal services at Schwab. Serving as the onsite office manager for team events, partner high-level meetings, and corporate functions in Austin. Establishing and maintaining effective and professional business relationships with all levels of management, employees, and key business partners. What You Have Required Qualifications: 5+ years of administrative assistant experience in supporting senior executives or equivalent A service- and solutions-oriented mindset with exceptional administrative and project planning abilities. Ability to deal with sensitive and confidential information with diplomacy and discretion, as well as a high degree of accuracy and attention to detail. Ability to exercise sound judgment in prioritizing tasks; to work efficiently; and meet deadlines within a challenging and fast-paced environment. Proven ability to interact with internal and external individuals at all levels, including senior executives, colleagues, clients, and vendors. Proficient in Microsoft Office Applications and the ability to learn innovative technologies rapidly. Strong interpersonal and communications skills-- written and verbal, face to face, telephonic and electronic. Cross-functional and cross-company project management and relationship building skills. A bias for action, highly organized, and ability to successfully execute on multiple projects simultaneously. Process orientation -- thinks systemically, "connects the dots" and anticipates challenges or needs. In addition to the salary range, this role is also eligible for bonus or incentive opportunities.
