All American Home Care LLC is an EEO Employer - M/F/Disability/Protected Veteran Status All American Home Care LLC JOB DESCRIPTION JOB TITLE: SalesPersonal Assistant REPORTS TO: Home CareLiaison Statement of Position/Position Summary The Personal Assistant is responsible for managing the intakeprocess for consumers. As the first point of contact for consumers the SalesAssistant is responsible for maintaining an in-depth knowledge of the Home Careprocess, supporting resources needed to provide services, referral policy andprocedure, creating and maintain relationships with consumers and connectingwith incoming applicants in a manner consistent with the mission of AllAmerican Home Care. Facilitates the intake process, assisting in theapplication process for caregivers and collecting all supporting documentation. Qualificationsand Education Requirements -Bilingual / Spanish Preferred • Minimum ofHigh School Diploma or equivalent, associate degree preferred orcombination of experience. • 2+ years ofexperience in a Marketing Assistant or Intake support role. Human Resourcesexperience as it relates to home care preferred. • Demonstratedcapability maintaining strict confidentiality with employee information. • Knowledge ofprinciples and practices of basic office management and organization. • Strong typingand computer application skills. • Computerproficiency and working knowledge of Microsoft programs required. • Stronginterpersonal and business partnering skills. • Good judgmentand decision-making skills. • Must be wellorganized, accurate and attentive to detail. • Excellentcommunication, public relations and follow-up skills. • Must be ableto work independently and have strong written and verbal communication skills. • Belief in theHome Care concept. Dutiesand Responsibilities Supports Home Care Liaison'sDay to day directly as the go-to person for all needs, including daily administration,calendar management, travel schedules and project coordination. Answers incoming sales calls receives all intake information for potential consumers and enters the appropriate information into ZOHO (all incoming calls must be enteredinto ZOHO before they go to the sales rep Assists consumers with theintake process and inputs all pertinent information into the system. Completes applications with potential caregivers and assures thatall vital information is documented, and all main documents are received. Ensure that all applications are accurate before scanning them intothe system. Confirm that client information is entered into the systemcorrectly and efficiently. Follow up with caregivers for missing credentials. Conduct calls to Maximus to submit clients for services and followclients through the approval/denial process. Communicates with consumers, families and caregivers regardingHome Care service, informationand issues. Communication on a routine basis with contractagencies to maintain smooth relations and to obtain needed information. Documents and reportson changes in consumer/caregiver status. Maintains positive relationships with externalpartners. Prepare welcome packets and disseminate appropriately. Perform other duties as assigned.
