Role Overview: The Office Manager plays a key role in creating a well run, welcoming, and efficient workplace. This position supports daily office operations while driving continuous improvement of processes and procedures. Serving as a point of coordination, the Office Managers will work closely with colleagues across the organization to support business needs, enhance collaboration, and ensure a professional office environment. Through proactive planning, strong organization, and thoughtful follow through, the Office Manager helps enable teams to do their best work. Key Responsibilities: Prepare, enter and maintain project proposals using company approved software, templates and procedures to ensure accuracy, consistency and compliance with corporate standards. Assist in the preparation of other documents relating to a project with enthusiasm and professionalism, including but not limited to: RFI's, shop drawings, proposals, additional service requests, waivers, COI's, marketing materials. Actively collaborate with other members of the company to continuously strive to improve processes, create efficiencies and reduce costs. Organize, plan and execute meetings, events and outings for internal teams and clients accurately, completely and timely. Timely determination of priorities, taking ownership of tasks and exhibit a high level of initiative and follow through to meet dead lines. Actively participate in weekly studio meetings to ensure proper cross function coordination. Verify weekly timesheets for reporting to HR in an accurate and timely manner. Collect, verify, and approve all expense reports for processing in an accurate and timely manner. Maintain office budgets for supplies, meals and outings. Schedule, manage and book all office travel with accuracy. Assist team in setting up book specifications including fonts, headers, footers, legends, editing markups and delivery of documents. Schedule appointments and maintain calendars. Create and maintain filing systems, both electronic and physical. Accurately and timely answer and direct all inbound calls. Ensure inventory of all office supplies and equipment is adequate and maintained. Process all inbound and outbound mail, packages, and project materials via local and regional shipping carriers. Liaison with office property manager and venders to ensure compliance, maintain office equipment contracts and troubleshoot equipment errors. Ensure office is kept well maintained and neat at all times including overseeing kitchen duties. Accurately and timely plot, stamps and prepares documents to be sent to client after thoroughly examining documents for completion and neatness. Assist Engineers with project parameters for assigned Engineering projects. Cooperatively takes on other duties, roles or responsibilities as assigned. Follows established work rules, policies and procedures. Minimum Qualifications: High School Diploma required; Associate degree (2 year) preferred. Excellent verbal and written communication skills. Strong Organizational skills and proven attention to detail. Demonstrated ability to effectively handle new situations and determine appropriate actions. Professional, friendly, and service-oriented demeanor. Proficiency with Microsoft Office applications and internet-based tools. Preferred Qualifications: Associate's degree or higher. Experience in an Office Manager or administrative leadership role. Preferred Skills: Team-oriented with a collaborative mindset. Self-starter with strong initiative and positive attitude. Ability to manage multiple priorities in a fast-paced environment. Strong professional judgement, discretion, and courtesy. Experience with Deltek/Vantagepoint applications (preferred).
