Olympia Provisions: Staff Accountant (Part-Time) 2530 Hours per Week | $30$35/hour Location: Portland, OR (Hybrid or In-Office) Position Overview We are seeking a part-time Staff Accountant to manage the day-to-day accounting operations of our growing business. This role ensures that financial records are accurate, organized, and up to date while supporting leadership with reliable financial information. The Staff Accountant will handle core accounting functions including accounts payable, cash deposits, reconciliations, collections, and month-end preparation. The role will work alongside an external fractional controller who provides financial oversight, reporting, and cash forecasting. This position is ideal for someone who enjoys keeping financial systems organized, accurate, and running smoothly in an operational business environment. Accounts Payable Enter and code vendor invoices Maintain vendor records Prepare weekly check runs and ACH payment batches Coordinate payment approvals with leadership Accounts Receivable Record customer payments and deposits Recognize revenue Maintain accurate customer balances Send customer statements Follow up on overdue invoices and assist with collections Cash & Deposits Record incoming payments and make bank deposits Ensure accurate posting of payments to customer accounts Maintain daily cash visibility Reconciliations Perform regular reconciliations for: Bank accounts Credit cards Accounts receivable Accounts payable Balance sheet accounts Revenue accounts Investigate and resolve discrepancies when needed. Month-End Close Support Reconcile accounts Post journal entries Assist in preparing financial statements Make accruals Ensure records are accurate and ready for review by the fractional controller Payroll Entries Record payroll summary journal entries from the payroll provider into QuickBooks Cash Forecast Support Maintain inputs for the 13-week cash flow forecast Update bank balances, expected customer receipts, and vendor obligations weekly Support the fractional controller's weekly cash review process Financial Reporting Support Prepare monthly financial reporting package including Profit & Loss, Balance Sheet, and supporting schedules Maintain Accounts Receivable and Accounts Payable aging reports Assist in preparing cash reporting and cash position summaries Maintain reporting inputs for the 13-week cash flow forecast Prepare supporting schedules and documentation for review by the fractional controller and ops director Assist with budget vs. actual reporting as needed Ensure accounting entries are recorded in accordance with applicable tax requirements and maintain supporting documentation for tax reporting Support the preparation and timely filing of required quarterly and annual tax reports in coordination with external tax advisors Maintain organized financial records and schedules needed for tax filings, audits, and regulatory reporting Qualifications Required: 3+ years accounting or bookkeeping experience Experience performing monthly account reconciliations Experience supporting month-end close Strong organizational and attention-to-detail skills Proficiency with accounting software (QuickBooks) Strong Excel or spreadsheet skills Bachelor's degree in Accounting, Finance, or related field preferred but not required- Equivalent professional accounting experience will be considered Preferred: Experience working in a product, manufacturing, or inventory-based business Personal Attributes The ideal candidate is: Highly organized and detail-oriented Comfortable working independently Proactive about identifying and resolving discrepancies Communicates clearly with operations and leadership What Success Looks Like in This Role Accounts payable and receivable processes run smoothly Financial records are accurate and organized Reconciliations are completed regularly Books are ready for monthly review without delays Leadership has clear visibility into financial activity Compensation $30$35 per hour depending on experience 2530 hours per week Flexible schedule within standard business hours Benefits Zayzoon Pay on demand/same day pay access Benefit plan including medical, dental, vision, critical illness, accidental, and life insurance for full time employees (30 +/Wk) Employee Assistance Program PTO Paid Leave Discounted Trimet Pass 401K Shift meal & beverage Product discounts Dining discounts at all of our sister establishments Work Environment: The duties of this position can be performed in an office setting and well as a home office.
