This role is critical to maintaining strong vendor relationships, accurate financial records, and efficient cash-flow management in a fast-paced produce distribution environment.Key ResponsibilitiesProcess high-volume vendor invoices accurately and in a timely mannerMatch invoices to purchase orders and receiving documentsVerify pricing, quantities, and terms; resolve discrepancies with buyers, receivers, and vendorsSchedule and process weekly payment runs (checks, ACH, wires)Maintain accurate vendor records, payment terms, and tax documentation (W-9s)Reconcile vendor statements and follow up on missing or disputed invoicesMonitor accounts payable aging and ensure timely paymentsCommunicate professionally with vendors regarding payment status and inquiriesAssist with month-end close, audits, and financial reporting as neededEnsure compliance with company policies and internal controlsSupport accounting team with additional administrative or finance tasks as requiredRequired Qualifications2+ years of accounts payable or general accounting experienceExperience in food distribution, produce, logistics, or wholesale environments preferredStrong attention to detail and organizational skillsAbility to manage multiple priorities and deadlinesProficiency in Microsoft Excel and accounting software (ERP experience preferred)Clear written and verbal communication skillsAbility to work independently and as part of a teamPreferred QualificationsExperience with ERP systems commonly used in produce or distribution (e.g., Famous Software, Produce Pro, or similar)Bilingual (English/Spanish) is a plusUnderstanding of freight, logistics, and perishable inventory billingWork EnvironmentOffice-based role with regular interaction with purchasing, receiving, and operations teamsFast-paced environment requiring accuracy, responsiveness, and accountabilityCompensation & BenefitsCompetitive salary based on experiencePaid time off and holidaysOpportunity for growth within a stable, growing organization
