Job Description

Position Overview The Warehouse Administrative Coordinator is responsible for accurately processing service related materials, invoices, purchase orders, and inventory documentation. This role supports both warehouse and administrative workflows by maintaining data accuracy, coordinating with technicians, and ensuring smooth purchasing and inventory operations.Primary Responsibilities •Enter materials used on service calls in business software. •Enter and receive invoices. •Record consumables used in QuickBooks. •Process invoices and packing slips for Receiving and Billables. •Check received material for proper updates. •Monitor and answer the PO phone. •Issue purchase orders (POs). •Select Bills/Payments on the 10th and 25th of each month. •Add new part numbers into the system. •Require technicians to complete proper paperwork prior to issuing materials.Secondary Responsibilities •Deliver materials or parts to technicians as needed. •Complete a delivery sheet before taking any delivery. •Review and follow up on outdated purchase orders. •Assist with general warehouse inventory tasks.Qualifications & ExperienceRequired Qualifications •Strong proficiency in Microsoft Excel, including creating and editing spreadsheets, using basic formulas, and organizing data. •Proficient in Microsoft Word for creating, formatting, and editing documents. •Working knowledge of QuickBooks, including entering consumables, processing invoices, and reviewing accounting entries. •Ability to learn and navigate Service Titan for material entry and job documentation. •Strong organizational skills with attention to detail. •Ability to manage multiple tasks and deadlines, especially related to billing cycles and purchase order processing. •Effective communication skills for coordinating with technicians, vendors, and internal departments. •Ability to lift 80 pounds. •Clean driving record and driver's license.Preferred Experience •Previous experience in a warehouse, inventory, or administrative support role. •Familiarity with purchase order workflows and invoice processing. •Experience supporting technicians or field staff in a service-based industry. •Knowledge of basic inventory control practices.
