Senior Accounts Payable Specialist Location: Hollywood, FL (On-site) | Pay: $25.00/hr Industry: Real Estate / Construction / Property Management The Opportunity Tired of the I-95 commute to Miami? We are seeking a seasoned Senior Accounts Payable Specialist for our Hollywood-based team. This role is designed for a "compliance-first" professional who values a stable, well-structured environment over high-stress corporate turnover. Core Responsibilities Full-Cycle AP Ownership: Manage the end-to-end AP lifecycle for a diverse portfolio of real estate and construction entities. The 3-Way Match: Rigorously reconcile vendor invoices against purchase orders and delivery tickets to resolve discrepancies immediately. Job Costing & Coding: Meticulously code expenses to correct GL accounts, departments, and project codes within ERP systems (Sage/Yardi). Compliance Leadership: Oversee vendor onboarding, including W-9 collection and Certificate of Insurance (COI) validation to mitigate risk. Disbursement Control: Coordinate weekly check runs, ACH batches, and wire transfers following strict authorization workflows. Vendor Diplomacy: Act as the lead contact for vendor inquiries, resolving aging statements and billing disputes professionally. Month-End Integration: Partner with the Controller to manage the AP module close and prepare month-end accruals for accurate reporting. Required Qualifications Experience: 4+ years of dedicated AP experience (Construction/Real Estate preferred). Technical Skills: Proficiency in ERPs (Sage, Yardi, or SAP) and intermediate Excel (VLOOKUPs/Pivots). Compliance: strong knowledge of 1099 reporting and subcontractor insurance requirements. salary: $25 - $26 per hour shift: First work hours: 8 AM - 4 PM education: Bachelors Responsibilities Full-Cycle AP Management: Execute the end-to-end accounts payable lifecycle for a diverse portfolio of real estate and construction entities, ensuring high-volume invoice entry is timely and accurate. The 3-Way Match: Perform rigorous 3-way matching by reconciling vendor invoices against purchase orders and delivery tickets to identify and resolve discrepancies immediately. Job Costing & Coding: Ensure all expenses are meticulously coded to the correct General Ledger (GL) accounts, departments, and specific project codes within the ERP system. Compliance Leadership: Manage vendor onboarding, including the collection of W-9 forms and the validation of Certificates of Insurance (COI) to mitigate corporate and project risk. Disbursement Control: Coordinate weekly check runs, ACH batches, and wire transfers, ensuring all payments follow internal authorization workflows and maintain SOX compliance. Vendor Diplomacy: Serve as the primary point of contact for vendor inquiries; research and resolve aging statements, missed credits, or billing disputes with a professional approach. Month-End Integration: Partner with the Controller to manage the AP module close; prepare month-end accruals for uninvoiced liabilities to ensure accurate financial reporting. Process Improvement: Identify bottlenecks in the approval workflow and suggest automation or procedural changes to increase the department's overall accuracy and throughput.
