Catering Office Receptionist Our luxury Four-Diamond hotel on Long Island is seeking a polished, service-driven Catering Office Receptionist to be the first point of contact for our Catering Department. This highly visible role requires exceptional professionalism, warmth, and attention to detail. The Catering Receptionist plays an essential role in creating a refined first impression for wedding couples, corporate clients, social hosts, and VIP guests while providing critical administrative support to the catering team. Key Responsibilities Greet all catering clients and guests with warmth, professionalism, and AAA Four-Diamond service standards Answer and direct high volume of incoming calls with courtesy and efficiency Respond to email inquiries promptly or forward to appropriate sales managers Escort clients to appointments and notify team members of arrivals Maintain a pristine and welcoming reception area reflective of a luxury brand Greet and direct Sales & Marketing clients upon arrival to Executive Office for meetings with professionalism. Administrative Support Manage appointments, site tours, and tasting appointments as requested by the catering team Maintain catering calendars and weekly event schedules Prepare welcome packets, menus, and event folders for client meetings Assist with proposals, contracts, banquet event orders (BEOs), and correspondence Organize and maintain client files and digital records Communicate effectively with Sales Managers, Banquets, Culinary, and Front Office teams Support event logistics preparation and internal documentation Assist with light reporting, data entry, and system updates Help ensure timely follow-up with prospective and confirmed clients Ensure all event details (BEO's) are communicated accurately and in a timely manner Qualifications College education is preferred; training, experience, and/or education in Hospitality is preferred. 1+ year of receptionist, administrative, or hospitality experience (luxury environment preferred) Strong written and verbal communication skills Strong interpersonal skills with a natural warm and welcoming personality Detail-oriented, well-developed organizational skills, and a strategic thinker.
