Will track, maintain and monitor various functions of the Business and Computing Systems Division such as personnel records, financial records, Adjunct and Residential scheduling, class enrollment tracking and monitoring. Will maintain and monitor social media, Internships, Student Outreach programs administration. Essential Functions 25% - Event Coordination and Execution Organizes and executes divisional events including reserving facilities, coordinating with speakers and attendees, preparing registration forms and event materials, submitting purchasing documentation, and managing event logistics. Designs marketing materials, prepares surveys, and supports event setup including space preparation, decor, and photography when needed. Tabling at local high schools, middle schools and other events. 25% - Student and Community Outreach Develops and schedules social media content for student and prospective student outreach, using graphic design platforms for multiple programs and initiatives. Manages and monitors engagement across platforms such as LinkedIn, Instagram, and Facebook, tracks analytics, and designs print materials including brochures and flyers. Conduct outreach to community members and industry partners to help coordinate internships, job shadowing, career immersion tours and other work-based learning opportunities for students. 15% - Administrative and Customer Support Provides administrative support including scheduling meetings and coordinating office services for multiple departments and programs. Serves as a primary point of contact for students and faculty, responding to inquiries and directing requests as appropriate. Assists with coordination of activities related to the class schedule, events, projects, programs, and services. Prepares and distributes information regarding policies, procedures, events, and program offerings. Provides customer support for assigned systems and service areas, manages office inventory and equipment, and submits work orders as needed. 15% - Research and Documentation Support Researches, gathers, compiles, and reviews data to support programs, projects, and operational functions. Designs and formats documents and prepares correspondence, reports, meeting minutes, and other communication materials. Maintains schedules, coordinates calendars, and assists with travel arrangements and itineraries. 10% - Records, Process Management and Budget Support Maintains files, records, databases, and documentation in accordance with established procedures. Assists with the development and improvement of processes and procedures when appropriate. 10% - Other Duties Performs other duties as assigned. Minimum Qualifications Associate's Degree from a regionally accredited institution and two years of administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities. OR An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered. Desired Qualifications 1. Background working in a team environment. 2. Familiarity with online information systems or database management systems. 3. Experience maintaining personnel, financial, or other clerical records. 4. Knowledge of Microsoft Excel or Google Sheets. 5. Experience creating, posting, and monitoring content and engagement across social media platforms such as LinkedIn, Instagram, and Facebook. 6. Hands-on use of Canva, Photoshop, or other graphic design platforms. 7. Event planning and execution experience 8.One year of relevant full-time MCCCD experience during the previous two years. Experience within other community college systems or higher education institutions is valued and may be considered in addition to MCCCD experience. External candidates are encouraged to apply. This is an in-person position. Based on district policy and Division Needs, there may be opportunity for remote work.
