Receptionist Position Overview We are seeking a warm, patient, and compassionate individual to join our team as a Receptionist. As the first point of contact for our organization, this role plays a vital part in setting the tone for both our families and our team. You will often be the calm, steady voice for parents navigating stressful or emotional situations, as well as the nurturing and reliable presence who helps hold the front office together for a team of over 100 therapists. This position also serves as the first line of support for basic technical questions, particularly when parents need help accessing their client portal or mobile app. Comfort with basic troubleshootingsuch as identifying incorrect or misspelled email addresses, guiding parents through login steps, or recognizing when an issue needs escalationis essential. You will be joining a team of dedicated professionals, many of whom have been with our company for over 15 years. Key Responsibilities Greet clients, visitors, and staff with warmth and empathy, creating a welcoming and professional environment. Answer and manage incoming phone calls with patience, professionalism, and emotional sensitivity. Serve as the first point of contact for parents needing assistance with basic technology issues, such as: Difficulty logging into the client portal or app Verifying email addresses and login credentials Providing clear, calm guidance through simple troubleshooting steps Recognizing when technical issues need to be escalated to the appropriate team Assist families in navigating appointments and connecting them with the appropriate staff or resources. Maintain a neat, organized, and calm front desk area, including managing mail, deliveries, and client materials. Perform basic office equipment troubleshooting (copiers, scanners, fax machines). Complete general administrative duties including scheduling, data entry, and record maintenance. Provide a supportive, grounding presence for therapists and staff, contributing to a sense of stability and care within the office. Maintain confidentiality and professionalism while handling sensitive, emotional, or traumatic information shared by families. Qualifications Warm, calm, and emotionally grounded demeanor with genuine compassion for helping others. Exceptional phone and communication skills, with the ability to listen attentively and respond calmly during emotionally charged or distressing conversations. Comfortable hearing difficult or traumatic family stories while maintaining professionalism and emotional boundaries. Strong organizational skills and ability to multitask in a fast-paced front-office setting. Basic technical aptitude and comfort troubleshooting simple technology issues with parents. Ability to type at least 45 words per minute. Proficiency with Microsoft Office (Word required). Experience with an EMR system is a plus. Natural affinity for children and families. Previous experience in a mental health, healthcare, or customer-facing role is preferred. Ability to maintain strict confidentiality and adhere to ethical standards. Must successfully pass all required background screenings. A genuine desire to remain in a supportive, front-facing role long-term.
