Position Type: Maintenance/Custodial Date Posted: 2/4/2026 Location: All Schools   Additional Information: Show/Hide ADMINISTRATIVE POSITION DESCRIPTION Position: Facilities Manager Reports To: Director of Facilities Evaluation: Annual Work Schedule: 261 days Salary Commensurate with Experience SUMMARY: The School Facilities Manager plays a critical role in ensuring the smooth and efficient operation of the school's physical infrastructure and facilities. The Facilities Manager collaborates with various stakeholders, including school administration, staff, vendors, and contractors, to create a safe, functional, and conducive environment for learning. Essential Duties and Responsibilities: * Assist the Director of Facilities to schedule, manage, and support capital improvement projects throughout the school district. * Develop and maintain job schedules for assigned projects. * Collaborate and build relationships with all architecture, engineering, and contractor partners * Facilitate subcontractor and owner coordination/progress meetings and document meeting minutes. * Visit job sites on a regular basis to review the effectiveness of site supervision, job progress, production planning boards, quality of work, and safety. * Manage change orders, extra work orders, and disputed claims with the owner and owner's representatives to a successful conclusion. * Evaluate the feasibility and impact of proposed projects on the school's facilities. * Ensure compliance with relevant building codes, regulations, and health standards. * Communicate and work well within an internal team to ensure our standards are met for projects and operations. * Assist the Director of Facilities in research and recommendations for long-range facility and grounds improvements and planning. This includes but is not limited to, planning new buildings and additions, remodeling, and renovations of existing structures. * Provide strong customer service and maintain a positive image of the school district with stakeholders at all times. * Responsible for maintaining the technical library consisting of plans, specifications, shop drawings, warranties, and close-out documents. This includes all manufacturer's literature, etc., on all buildings and equipment. * Have a working knowledge of all corporation building standards. * Assist the Associate Director of Facilities and Facility Maintenance and Inspection Coordinator * Coordination and monitoring of the district's key procedures and policies. * Monitoring weather and coordinating snow removal by directing maintenance personnel to plow. * Responding to emergency calls. * Assist in the development and monitoring of expenditures from the facilities budget. * Participate in appropriate professional organizations and appropriate professional development opportunities. * Assist the Facility Maintenance and Inspection Coordinator with day-to-day maintenance operations as needed. * Perform and follow other directives from the Director of Facilities, Associate Director of Facilities, Chief Operating Officer, and Superintendent that serve to improve services to the students, staff, and patrons of the Penn-Harris-Madison School Corporation. Qualification Requirements: * The School Facilities Manager is a key figure in maintaining a safe, functional, and inviting learning environment. This role requires a proactive, adaptable, and hands-on approach to managing the various aspects of the school's facilities. * Post-secondary training in construction management is desired. * Post-secondary training in construction trades and management with an emphasis on physical plant facilities, equipment, and construction. * Proven experience in facilities management, preferably in an educational or institutional setting. * Experience and knowledge of mechanical & electrical equipment and operation. * Experiencing managing capital improvement projects and collaborating with architecture, engineering, and contractor partners. * Proficiency with computer skills with an emphasis on direct digital energy management systems. * Ability to prioritize tasks, work under pressure, and meet deadlines. * Minimum of three to five years of supervisory experience is required. * Working knowledge of state and local construction rules, regulations, and procedures. * Demonstrate well-developed communication skills both verbal and written, necessary to interact in a professional manner to project a positive image that is consistent with P-H-M's philosophy. * Good time management skills and ability to multitask, prioritize work, and give exceptional attention to detail. * Willingness to improve and/or develop job-related skills. * Must demonstrate the importance of confidentiality. * Excellent work habits, attendance record, and successfully complete and pass all criminal history and child abuse clearances * Shall remain free of any alcohol or nonprescribed controlled substance abuse in the workplace throughout his/her employment in the Corporation.
