The Accounts Payable Coordinator is responsible for the accurate, timely, and compliant processing of vendor invoices and payments for Vibrant Ingredients. In addition to managing day-to-day accounts payable operations, this role plays a key part in process improvement, system optimization, and cross-functional finance initiatives as the company continues to scale and automate.This position is ideal for a detail-oriented AP professional who enjoys owning processes, strengthening controls, and partnering with Procurement, Operations, and Finance. At the outset, this role will also support the development of future procure-to-pay processes, data governance, and scalable tools to enable an efficient AP functionHow will you contribute:To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Essential job functions and duties include, but are not limited to:Invoice Processing & PaymentsProcess high-volume vendor invoices accurately and timely with appropriate codingPerform 2-way and 3-way matching (invoice, PO, receipt)Assist with weekly payment runs (ACH, checks, and wires)Handle vendor credits, debit memos, and short paymentsMonitor accounts to ensure payments are up to dateVendor ManagementSet up and maintain vendor records (contact information, W-9s, payment details)Timely and effective communication for vendor inquiriesCollaborate effectively to resolve discrepancies with Procurement, Receiving, and OperationsCultivate and maintain strong vendor relationshipsMonth-End Close Support & AuditMaintain organized and accurate AP ledgers and documentationAssist with AP accruals and cutoff proceduresSupport audit requests and provide relevant documentationOverall assist to ensure timely and accurate month-end closeProcess ImprovementIdentify opportunities to improve AP efficiency and accuracySupport AP automation tool implementation (OCR, workflow, and vendor portals)Assist with ERP implementation and system enhancementsParticipate in continuous improvement initiativesMinimum Requirements/Qualifications:5+ years of Accounts Payable experience in a mid-size or manufacturing environmentERP experience (Microsoft Business Central or Great Plains preferred)Strong understanding of PO-based AP and 3-way matchingHigh attention to detail with strong analytical and problem-solving skillsExcellent organizational and time management skillsProfessional communication skills with internal and external partnersProcess-oriented mindset with a continuous improvement approachAbility to thrive in a fast-paced, evolving environmentPreferred Qualifications:Experience in food & beverage manufacturing or CPGExposure to AP automation tools (, Tipalti, Stampli, AvidXchange, etc.)Experience supporting system implementations or process improvement initiativesAdvanced Excel skills (pivot tables, lookups)Familiarity with freight, ingredient, and co-manufacturing invoicesWork Environment:May involve exposure to allergens such as Soy, Wheat, Fish, Shellfish, Milk, Egg, Tree Nuts and Sesame.What Vibrant Ingredients can offer you:Generous time off for vacationsPaid Holidays401(k) with company matchTuition reimbursementMedical/Dental/VisionHealth & Wellness programsVibrant Ingredients does not provide visa sponsorship for this role.
