Position Summary: The Grants Administration Coordinator will be responsible for coordinating the flow of grant administration activities within the Finance Department. This position will be responsible for maintaining grant tracking tools and dashboards; coordinating accounts receivable and invoicing in conjunction with accounting; and maintaining schedules for deliverables, meetings with program staff, and meetings with funders. This position will also be responsible for maintaining the internal SharePoint site and The Beat page, as well as other informational tools as needed. This position must provide great customer service to other internal departments and external funding partners. Compensation is dependent on skills and experience. Your contribution to the team includes: * Maintain monthly tracking for HealthPoint's grant portfolio, using Excel, Smartsheet, or Oracle as indicated. * Prepare and submit monthly dashboard for senior leadership, at the direction of the Manager of Grants Administration. * Prepare milestone or base funding invoices on a monthly or quarterly basis in conjunction with the Senior Accountant for grants. * Ensure grant-funded FTEs are accurate each month and prepare and submit Employee Change Forms as needed. * Prepare monthly Key Performance Indicator reporting for review by entire grants team. * Facilitate grant data reports with HealthPoint's Data Services team. * Prepare simple grant invoices in conjunction with the Senior Accountant for grants. * Provide scheduling support for the Manager of Grants Administration and the Grants Administrators for internal meetings with grant program managers and external stakeholders. * Responsible for maintaining accurate files that are audit compliant for each grant in the portfolio. * Responsible for excellent customer service to internal and external stakeholders. * Maintain good attendance, is punctual and works full scheduled shift is a condition of employment. * Demonstrate respectful, professional and appropriate behavior that supports a team-oriented work environment. * Demonstrate a commitment to the mission, core values and goals of HealthPoint and its healthcare delivery including the ability to integrate values of justice, respect, compassion, excellence and stewardship into appropriate programs and services. * Other duties as assigned by supervisor. * Partner with the Grants Development Team to ensure smooth transitions from pre- to post-award. * Facilitate post-award site visits with appropriate staff to funder representatives. * Participate in process improvement activities as part of the Grants Administration team. * Attend staff meetings, in-service meetings and participate in agency committees and task force activities as required. Must have's you'll need to be successful: * Technical College or Associate's degree and two (2) to four (4) years of experience that demonstrates ability to coordinate multiple tasks and priorities. * Knowledge of community health centers and community fundraising experience preferred; or equivalent combination of education and experience. * Ability to read and interpret technical and other complex documents. Ability to write routine correspondence such as letters and memos. Ability to present information in one-on-one and small group situations to internal and/or external clients. * Demonstrated operating knowledge of computers. Intermediate level of Word, Excel, and Outlook. If you know about the following it's a plus: * Federal EHB, Raiser's Edge or other database systems, project management software a plus. Additionally, if you work in a HealthPoint clinic, Tdap (within last 10 years) is required. Hepatitis B. is required for clinical employees with potential exposure to blood/blood products. All immunizations are a condition of employment. Upon hire, employees must provide proof of their immunizations and/or immune titer results prior to starting or no later than their fifth (5) business day of employment. Where to gather your records: * If you are providing immunizations from an electronic health record, please ensure that you obtain a copy of your full records rather than a screenshot. Each page of your records should include your first and last name, date of birth, and the name of the health system from which the records are pulled. * If records do not show any data, please seek guidance from your provider for further assistance. * If you are unable to provide proof as noted above, you can choose to have a lab titer drawn to check immunity or to be re-vaccinated. If you receive vaccination(s) or lab titers, you may obtain them through HealthPoint at no cost to you.
