Job Title: Project Systems CoordinatorDepartment: EngineeringSalary Range: $67,000 - $80,400Pay Grade: 6FLSA Status: Exempt The Project Systems Coordinator will be responsible for coordinating and maintaining the project management system (Trimble Unity Construct (TUC) formally known as e-Builder), process implementation, project reporting, and supporting all departments to meet the business needs of the Authority.RESPONSIBILITIES• Work closely with internal staff and external vendors to deliver, maintain, and troubleshoot systems functionality through user feedback and knowledge of project management systems and practices• Primarily accountable for managing processes including, but not limited to, Task Order and Amendments, Lead Service Line Replacement Reimbursement Process, Consultant and Contractor Evaluations, Board Resolutions, and Change Orders• Support in maintaining projects handled by Engineering project managers through the TUC structure including scope, budget, and schedule, and which facilitate the data from one actor to another for review or approval• Identify, define, and develop solutions to issues that arise in existing processes, with the ability to think outside of the box• Oversee and support information within the Project Management Policies and Standard Operating Procedures manual and assist with the quarterly updates to the manual with regards to new processes, policies, and procedures• Support the Project Controls team with project setup, processing invoices, entry of project budgets, commitments, contractor pay applications, task orders, and purchase orders conducted within or outside of TUC• Develop and generate dashboards and reports for departments; collect and benchmark key performance data and periodically present information to Engineering department• Develop, test, distribute updates, and produce TUC workflow processes for Executive, Engineering, Finance, and Procurement departments; Review and modify existing processes and procedures to help streamline the system making it more efficient and effective• Establish, monitor, coordinate and enforce internal controls with project managers to ensure their projects are updated in TUC and are accurate throughout the project life cycle• Assist in leading project meetings with all system users to ensure adequate functionality and problem resolution• Lead user maintenance activities, such as setup, role assignment, and license utilization, and holding workshop sessions with internal or external users• Maintain professional and technical knowledge by: attending educational workshops including online webinars; participating in annual certified TUC training; communicating and coordinating with user groups; conducting TUC training for new hires, consultants and contractors, or existing user that needs retrained in the system• Assist with any system integration with TUC, such as Procurement Bonfire system, ERP system (SAP), Asset Management/CMMS system (Cityworks/Trimble Unity Maintain), DocuSign, and any other systems as required• Assist the Project Controls team by processes payments or any other support• Perform other duties as assigned or requiredKNOWLEDGE, SKILLS & ABILITIES• Strong analytical and critical thinking skills• Demonstrated ability to perform root cause analysis and develop effective solutions• Proficient in Microsoft Office Suite products; particularly Excel and PowerPoint• Demonstrate adequate knowledge of project management software, preferably TUC, or other related project management products• Must exhibit effective written and verbal communication skills• Confident and skilled in working independently and proficient in functioning in a team environmentEDUCATION / EXPERIENCE REQUIREMENTSThe following requirements list the minimum education/training/experience required to qualify for this job. An equivalent combination of education and/or experience may be accepted.• Bachelor's Degree in Business, Finance, Engineering, or related field• Two (2) plus years of professional and project system/construction management software experience.• Experience with Power BI, Sequel, and/or other programming preferred.GENERAL REQUIREMENTSApplicant must present a current, valid Class C (Class 1) Motor Vehicle Operator's License at the time of application or prior to appointment. A valid driver's license must be maintained throughout employment.Applicant must have permanent residency within one of the following Pennsylvania counties at the time of appointment and remain a resident within one of the noted counties throughout employment with Pittsburgh Water: Allegheny, Armstrong, Beaver, Butler, Fayette, Greene, Lawrence, Indiana, Washington, or Westmoreland.
