Job Type Full-timeDescriptionHours: Monday - Friday from 8AM to 5PM, with additional hours as needed in evenings and weekends.Greet and welcome clients/guests/visitors in a warm and friendly manner and answer any questions they may have. Seat clients in conference room. Offer and provide beverages/snacks, as requested. Notify team members when client/guest/visitor has arrived.Maintain front desk area and all common areas, meeting rooms in a clean and tidy manner at all timesAnswer questions and address complaintsAnswer all incoming phone calls, preferably within three rings (one-hour lunch covered by other staff members) in a polite and friendly manner - redirect calls or take messagesCheck general voice mail box and forward messages to appropriate team memberMake copies for team membersReview conference room calendar reservations. Review and print daily schedule for team reference. Ensure all in-office appointments are assigned to a conference room.Rearrange furniture in all conference rooms, as needed, based on meeting needsMonitor and replenish supplies at the client coffee/tea stationMaintain tidiness in the first-floor kitchen. Run dishwasher. Stock client beverage refrigeratorMake service calls for copier, as needed. Restock paper in copier drawers twice dailyReceive packages, etc. and distribute them accordinglyProcess incoming mail per procedures in notebook. Log all incoming mail received by special delivery and deliver accordinglyProcess outgoing mail and envelopes, as neededPrepare outgoing mail by drafting correspondence, securing parcels etc.Check, sort and forward emailsMonitor office supplies and place orders when necessaryKeep updated records and filesOperate standard office equipment on a regular basis, including the copy machine, postage machine, etc.Keep detailed and accurate records of visitor requests and of calls receivedReceive deliveries; sort and distributeReplenish supply of client gifts, pens, tissues, newsletters, and note-taking paper in the conference roomsOrganize and send out client birthday cards, and team member birthday and anniversary cardsUpdate and start up reception area welcome PowerPoint dailyPrepare "packets" for seminars, board presentations, client meetings, etc., as neededHelp with travel arrangements, schedules, company events, etc.Respond to phone calls, texts, and e-mails in a timely fashionFollow and adhere to Company policies, procedures, and guidelinesWilling to learn the industry and help us maintain and grow our marketplace positionAttend business meetings and trainings as requiredPerform other administrative tasks and special projects as assignedRequirements Maintain a professional attitude and appearancePossess the ability to connect with a variety of personalitiesLive out Faithward FormulaExhibit strong leadership skills - leads by example and helps motivate others to do their bestUtilize extremely strong phone skills - high energy and passion for helping othersBe a team player who thrives working with a tight-knit company where their activities directly affect the bottom lineBe enthusiastic about providing the best possible customer service for clients and customersPossess a roll up your sleeves, and all hands-on deck mentality to cross functional tasks and assignmentsBe self-motivated and results driven with proven ability to succeed - desire to grow both professionally and personallyPossess strong relationship management and the ability to drive multiple tasks to completion successfullyBe a resourceful team player and a positive "can-do" attitudeHave the ability to work in a fast-paced environmentThink and act like an entrepreneur and take an ownership mentality in all that is done in this positionBe detail oriented and helpfulHave the ability to perform accurate data entry within specified time framesPossess the ability to use or quickly learn specific CRM and other business softwareExhibit outstanding written, grammar, & verbal communication skills with ability to interact with all levels of an organizationPossess excellent organization, problem solving, and planning skillsDemonstrate excellent time management skills and ability to adhere to schedules/deadlinesBe dependable and safety orientedHave the ability to work some nights and weekends as neededProduce a negative pre-employment drug screen and have the ability to pass a criminal background checkMaintain a good attendance record and travel as requiredSalary Description $18.00+ per hour, depending on experience
