This position plays a key role in planning and executing enterprise-level events and convenings that support ARC's regional leadership, stakeholder engagement and public-facing mission. The role is primarily responsible for coordinating event logistics, vendor relationships, procurement and contracting processes, and cross-functional project execution. This role requires exceptional project management skills, strong attention to detail, and the ability to manage complex administrative processes related to procurement and contracting. The position works closely with the full communications staff, subject matter experts throughout the agency, and external partners to ensure ARC events advance the agency's mission and brand. Essential Duties and Responsibilities:Responsibilities include, but are not limited to:• Lead planning and execution of ARC enterprise events, meetings, and convenings, including large-scale regional gatherings such as the State of the Region, the Legislative Briefing, the Regional Assembly, subject matter summits, and other agency programs. • Manage event logistics from concept through implementation, including venue coordination, vendor management, scheduling, program flow, registration processes, and on-site operations. • Serve as project manager for events, coordinating cross-departmental teams and ensuring deadlines and deliverables are met. • Manage vendor relationships and oversee contracts related to event production, venues, audiovisual services, catering, and other event services. • Coordinate with ARC procurement and finance staff to facilitate contracting processes, including preparation of scopes of work, RFP coordination, and contract execution. • Ensure compliance with agency procurement requirements and administrative procedures related to contracting and vendor payments. • Track budgets and expenditures related to events and ensure fiscal accountability. • Collaborate with communications staff to develop marketing materials, messaging, and promotional strategies supporting events. • Ensure ARC brand standards are maintained across all event materials, signage, and communications. • Provide post-event reporting and evaluation to inform future improvements. • Manage the other External Affairs contracts and vendor relationships, as assigned.Perform other duties as assigned to support agency communications, events and engagement goals. Minimum Qualifications:Bachelor's degree in communications, marketing, public relations, meeting planning, public administration, or a related field and two (2) years of progressively responsible experience in communications, marketing, event planning, stakeholder engagement, project coordination, or related administrative tasks.Experience managing complex events, contracts, or vendor relationships is strongly preferred.ORAn equivalent combination of education and experience sufficient to perform the essential duties of the job may be considered.
