The Foundation is dedicated to improving the lives of New Yorkers, with a particular focus on those in need. Its philanthropic priorities include education, culture, and social services in New York City; autism, special education, and related services; healthcare, including mental health; and limited support for the Stony Brook-area community.The MJS Foundation also provides management support to three additional foundations: the Nick Simons Foundation (NSF), Nick Simons Foundation International (NSFI), and Foundation for a Just Society International (FJSI). Through service agreements with MJS, the Office Operations Intern will support all program, administrative, and grants management operations of MJS, NSF and FJSI. The Simons Foundation is an affiliated organization of the MJS Foundation and shares the same founders.POSITION SUMMARY The MJS Foundation administration team is seeking an intern interested in learning about the day-to-day operations of a small nonprofit foundation. This role offers hands-on exposure to office operations, facilities management, event support, vendor coordination, and basic accounts payable functions.The Office Operations Intern will work onsite in our offices in New York City. The expected schedule is Monday thru Thursday from 9:00 a.m. to 5:00 p.m. (with one-hour unpaid lunch break). This internship is expected to run from June 1 until August 13, 2026. ESSENTIAL FUNCTIONS/RESPONSIBILITIESReception & Front Desk Support Answering the Foundation's main phone line and directing calls appropriatelyCoordinating guest arrivals and notifying hostsGreeting guests and directing them to meeting spaces and restroomsPreparing conference rooms for meetings and lunchesOrdering meals for meetingsReceiving deliveries and sorting incoming mailPreparing outgoing mail and scheduling courier pickupsMonitoring office, pantry, and supply inventories and placing orders as neededLiaising with cleaning crews when necessary and monitoring work qualityGeneral Office SupportMaintain a clean and professional appearance of common areasOperate office equipment (printers, copiers, scanners, audiovisual equipment)Assist with basic equipment troubleshooting and coordinate vendor repairsEscort vendors and service providers as neededSupport conference room scheduling and setupAssist with internal communications, including emails, memos, and reportsSupport planning and execution of onsite and offsite Foundation eventsCollaborate with colleagues and assist where neededFinance & Administrative SupportPrepare and code invoices; follow up with vendors on discrepanciesMaintain vendor recordsAssist with expense reports and approvalsSupport routine month-end proceduresAssist with special projects as assignedQUALIFICATIONSProficiency in Microsoft Office and Google WorkspaceAble to keep tasks, information, and deadlines organizedAbility to manage information, data, and files accuratelyInterest in learning and collaborating with the MJS teamInterest in office operations, administration, or human resourcesAbility to maintain confidentiality and exercise discretionPositive attitude with strong customer service skillsProfessional personal presentationPlease follow all instructions carefully, as it is an important criterion to indicate work readiness.
